Scientific andmedical publishing is a vital part of the Philip Morris International (PMI) Life Sciences Strategy and one of the most critical elements in establishing PMI as a leader in science and innovation. The position holder will be responsible for coordinating all administrative duties related to PMI scientific publications, including event planning and management of contracts, analytics, and vendor relations for all scientific literature research tools and platforms for PMI scientists (37 platforms and databases, serving more than 800 users). The position holder will act as the primary point of contact between PMI R&D and global third-party service providers for publications-related subscriptions and will coordinate all contracts, purchase orders, vendor communications, and analytics gathering and analysis. The position holder will plan and lead activities and events to promote awareness and proper usage of these tools and services. The position holder will also be the primary liaison between PMI scientists and the Publication Strategy & Management team (PMT) for any issues related to copyrights, permissions, and licensing of PMI scientific publications as well as third-party publications purchased through scientific research platforms. The position holder will also help in planning the logistics for all internal events and trainings organized by the Publication Management Team.

  1. Manage publications database and platform services for PMI R&D stakeholders, including management of user access, permissions, and service requests for all platforms and databases.
  2. Manage contracts, vendor relationships, for external publications databases, journal subscriptions, and other publication services under PMT and gather usage analytics.
  3. Develop and distribute digital materials in internal channels to promote trainings, awareness and proper usage of external publications database and platform services. Deliver periodic training to database and platform users. Support the content creation and maintenance for an internal SharePoint page dedicated to the team presentation and description.
  4. Advise PMI scientists on policies, procedures, and best practices related to copyrights, permissions, and licensing of PMI scientific publications as well as third-party publications purchased through scientific research platforms.
  5. Support the organization and coordination of internal meetings, events and trainings related to the PMT activities.
  6. Administrative Tasks :
  • Managing Outlook shared mailboxes
  • Organizing/managing meeting schedule
  • Prepare and send meeting minutes
  • Send trainings/events invites (Teams meeting)

Skills and Competencies Education :

  • Bachelor's or master's degree in science and/or business
  • English proficiency (spoken and written) is a must.
  • Knowledge of contracting and event planning Work experience
  • 2-3 years of experience in publications management and administration
  • Substantial experience in vendor relations and contract management
Other skills/function specifics :
