Executive Secretary in Radiodiagnostics and Interventional Radiology
To complete its team, the radiodiagnostics and interventional radiology department is looking for an executive secretary, with a workload of 80% to 100%, for a permanent contract, starting on 1 September 2026 or as agreed.
Context
The Lausanne University Hospital (CHUV) is one of the 5 Swiss university hospitals. Thanks to its collaboration with the Faculty of Biology and Medicine of the University of Lausanne and EPFL, CHUV plays a leading role in medical care, medical research and education.
The diagnostic and interventional radiology department is the largest radiology entity in the canton of Vaud with more than 250 collaborators serving patients from the Lake Geneva region as well as the rest of Switzerland. Our group of professionals and specialised doctors offers a wide range of imaging and radiologically guided interventional examinations to the population. As a university hospital centre affiliated with the University of Lausanne (UNIL), we host medical students, radiology assistant doctors and heads of clinics in diagnostic and interventional radiology for their training, and we also receive radiology technicians during their training at HESAV.
Our scientific activities involve internationally renowned research groups in various fields of radiology, particularly MRI imaging, with more than 50 scientists collaborating with the Biomedical Imaging Centre (CIBM), UNIL and the École polytechnique fédérale de Lausanne (EPFL). Our department is organised into several specialised units based on organ/pathology and provides both diagnostic imaging and minimally invasive interventional therapies. This organisation optimises interactions with clinicians and surgeons in their respective fields.
Mission
- You contribute to the administrative management of medical staff: planning of doctors, monitoring absences, holidays and replacements (Visualplanning and Polypoint) as well as managing arrivals and departures in coordination with the relevant services
- You ensure the secretariat and administrative support of the department's Research Unit: administrative follow-up of researchers' files (application files, appointments, promotions, evaluations); drafting, entering and monitoring job advertisements; Polypoint management
- You contribute to the secretariat of the Head of Department and Department in managing administrative and organisational activities: diaries, meetings, preparation of files, correspondence and archiving
- You provide administrative support to the secretariat of senior doctors: diary management, correspondence, preparation and follow-up of files
- You participate in the administrative management of conferences, congresses, training and the general smooth running of the secretariat.
Profile
- You hold a Federal VET Diploma as a commercial employee or an equivalent qualification, complemented by several years of experience in a similar position
- You have an excellent command of French, both spoken and written, possess good writing skills and have a good knowledge of English
- You demonstrate planning and organisational skills and the ability to manage priorities
- You stand out for your open-mindedness, flexibility and sense of initiative
- You have a well-developed sense of human relations, combined with great discretion and a keen sense of confidentiality
- You know how to be assertive and diplomatic in your interactions with a variety of interlocutors
- You appreciate teamwork and demonstrate a real sense of collaboration and solidarity.
