With over 1,300 employees, the Department of Psychiatry fulfils a triple mission focusing on the treatment of mental disorders, education, and research.
As part of a fixed-term replacement of 7 months, you will report directly to the head of the department, organising appointments and meetings by managing their diary. You will draft minutes of various departmental meetings and coordinate the follow-up of decisions made. You will work with a high degree of autonomy while collaborating effectively with internal and external contacts at the HUG.
You will successfully carry out administrative activities related to your role, such as managing the schedules (VRH) of doctors and secretaries, and support the senior doctor responsible for organising hospital on-call duties in this task.
You will also participate in the recruitment process of new junior doctors and organise the meetings of the department's career pathway commission.
Qualifications
You hold a Federal VET Diploma as a commercial employee or an equivalent qualification and possess a federal certificate as an executive assistant.
You have three to five years of successful experience in a similar secretarial position.
You have perfect command of French, both spoken and written, and proven writing skills.
Proficiency in English is a major asset.
You have very good IT skills (ECDL Advanced level in Word, Excel, PowerPoint, Outlook and Web is required) as well as knowledge of software used at the HUG.
You are an autonomous and trustworthy person, with a sense of responsibility and organisation. You know how to manage priorities and take initiatives, respecting the legal framework and applicable rules.
