Key Responsibilities
Executive & Calendar Management

Coordinating, scheduling, and managing complex calendars for the executive and his team

Organising meetings in person and via video conferencing (Zoom / MS Teams)

Providing calendar support to other team members when required
Personal & Family Support
-
Booking medical appointments, restaurants, transportation
-
Acting as the main point of contact for family members for various requests
-
Liaising with external parties on behalf of the family
Travel & International Logistics
-
End-to-end organisation of professional and private travel, including:
-
flight bookings
-
visa applications
-
accommodation and ground transfers
-
meeting coordination
-
preparation of detailed itineraries when required
-
Administrative & Financial Follow-up
-
Submission and follow-up of expenses
-
Maintaining records of invoices, payments, and refunds (including medical insurance claims)

Liaising with staff on payroll-related matters
Property Management
-
Overseeing the maintenance and upkeep of properties
-
Coordinating contractors and service providers
-
Managing renovations, repairs, and follow-up works
Profile Required
-
Proven experience as an Executive Assistant / Personal Assistant in a demanding environment (senior executives, family offices, UHNW, private households)
-
Outstanding priority management and organisational skills
-
Strong ability to anticipate needs before they are expressed

Exceptional attention to detail and follow-through
-
Ability to meet strict deadlines with full autonomy
-
High level of adaptability to constantly changing schedules
-
Strong stress resistance and problem-solving mindset

Absolute discretion and confidentiality

Flexibility and availability within a structured framework

Fluent English is mandatory (French required)
