Executive Assistant - Financial Services
The firm is seeking an experienced Executive Assistant to support the CEO and executive team. This is a hands-on, stand-alone role , as the right hand of the CEO, in a boutique, fast-paced environment. This is a unique opportunity for someone who enjoys a dynamic, entrepreneurial environment and wants to make a tangible impact in a growing boutique firm.
The successful candidate will handle executive PA/EA responsibilities. You don't need to come from a bank, but should have at least some familiarity with banking and financial services terminology (e.g., KYC, client onboarding, investment documentation). This role may suit someone from a family office or boutique investment firm seeking a fresh challenge, where you can provide first-class support, join a young and growing team, and have real impact and visibility. This is a full-time, office-based role with no home-office option.
Key responsibilities:
- Answering telephone calls and managing emails professionally
- Receiving clients and visitors, ensuring a polished front-of-office presence
- Organising meetings, managing appointments, and coordinating calendars
- Managing post, deliveries, office supplies, and liaising with service providers
- Supporting onboarding of new joiners (badges, IT logins, office access)
- Handling expense processing and ad-hoc administrative tasks
- Assisting with internal and external projects, ensuring follow-up and attention to detail
- Acting as a proactive point of contact for IT and other service providers
- Minimum 5 years' experience as a PA or Executive Assistant in banking, asset management, or a family office/boutique investment firm (preferred).
- Familiarity with banking and financial services terminology (e.g., KYC, client onboarding, investment documentation)
- Mature, professional, well-presented, and energetic, with excellent interpersonal and client service skills
- Proactive, independent, and highly reliable; able to thrive in a small, dynamic, high-impact boutique environment
- Calm under pressure, adaptable, with strong attention to detail and organizational skills
- Fluent in English and French
- Strong IT skills, including MS Office; quick to pick up new systems
- Full-time, office-based role; occasional flexibility on working hours may be required. Home office not available
- Valid Swiss work permit required; ideally residing within easy reach of central Geneva (frontaliers accepted)
