On behalf of our client, a private bank based in Geneva, we are looking for a Junior Client Data & Documentation Officer for a 12-month full-time assignment. This assignment may be extended depending on the organisation's needs.
You will join a team responsible for managing client data and documentation, as well as Client Register activities.
You will contribute to the reliability of information recorded in the bank's systems, the coding of documents, and the control of client files. You will also participate in pre-payment validation checks and in preparing documents and reports for clients and internal teams.
This opportunity is aimed at a junior profile wishing to develop operational skills in private banking while contributing to continuous improvement, digitalisation, and automation initiatives.
Main Responsibilities
Client Data and Documentation Management
- Receive, verify, categorise, and code client documents in the bank's systems.
- Ensure the indexing of documents and their attachment to the correct client, account, or file.
- Enter and update client data based on supporting documents and validated instructions.
- Check the completeness of files and the consistency between recorded data and received documentation.
- Identify missing documents, duplicates, and anomalies, and follow up with the relevant teams.
Operational Controls and Client Register Support
- Analyse and control client account structures as part of pre-payment authorisation checks.
- Verify the validity of signatures, signing authorities, and documentary compliance of payment instructions according to current procedures.
- Apply internal procedures and controls, reporting discrepancies to the appropriate contacts.
- Prepare and provide contractual documents and financial reports necessary for client visits.
- Produce customised financial reports from the bank's tools upon request from managers and clients.
- Respond to requests from various business lines regarding client data, documentation, and Client Register activities.
Quality and Process Improvement
- Ensure the quality, accuracy, and traceability of processes, respecting deadlines and confidentiality rules.
- Manage requests according to operational priorities and report situations requiring intervention.
- Participate in data reliability, standardisation of working methods, and updating procedures.
- Contribute to digitalisation, automation, and activity optimisation projects, including testing tool developments.
Profile Sought
- Vocational training certificate (CFC), Bachelor’s or Master’s degree, ideally in banking, finance, economics, management, or information systems.
- First professional experience or internship in a banking, financial, or administrative environment; experience in private banking or document management is an asset.
- Strong motivation to develop skills in banking operations and client data management.
- Excellent learning ability, rigour, and attention to detail.
- Organisational skills and ability to manage multiple tasks simultaneously in a deadline-driven environment.
- Discretion and strict respect for information confidentiality.
- Team spirit, service orientation, and ease in communication with various stakeholders.
- Curiosity and interest in process improvement, digitalisation, and new technologies.
- Good command of Microsoft Office, especially Excel; knowledge of Avaloq is an asset.
- Knowledge or interest in Python, SQL, low-code solutions, or artificial intelligence technologies is an advantage.
- Fluent in French and English, both written and spoken; knowledge of German is an asset.
