Context & Mission
Doctors Without Borders is an independent international medical and humanitarian organisation providing care to people in need, those affected by natural or man-made disasters, and victims of armed conflicts, without discrimination and regardless of race, religion, beliefs, or political affiliation (MSF Charter).
The position aims to deploy and maintain a harmonised institutional document architecture, adapted to the operational realities of MSF-Switzerland, enabling:
- Continuity of activities despite instability (security, turnover, emergencies)
- Reduction of risks of loss of critical information
- Traceability, accountability, and institutional memory
- Adaptability to heterogeneous field contexts.
Main Responsibilities
- Maintains and adapts the lifecycle of both paper and digital documents of MSF-Switzerland, considering mission contexts
- Ensures compliance with legal retention obligations related to GDPR and archival standards
- Mitigates risks of information loss
- Ensures collection, processing, description, preservation, communication, and secure destruction of documents
- Designs and updates reference frameworks and tools to promote document management at both mission and Headquarters levels
- Ensures continuity of the ADOC unit’s activities during colleagues’ absence (digital archives documentalists)
Profile Sought
Education
- Tertiary degree or equivalent in Information Sciences or History
- Strong experience in complex/international environments is an asset
Experience
- Proven experience in managing paper archives and document lifecycle
- Experience in humanitarian work is a plus
Technical Skills
- Mastery of standards and regulations related to archives and data protection
- Knowledge of archive management and information management tools
- Competence in modelling document lifecycle
- Interest in geopolitical issues
- Knowledge of common office and collaboration tools (Microsoft 365)
- Knowledge of Atom is an asset
Languages
- French and English are the working languages at MSF-Switzerland and necessary for the position
- Any other language is welcome

Working Conditions
- Part-time position 80% (32h/week)
- Permanent contract
- Workplace: Geneva
- Ideal start date: As soon as possible
- Gross annual salary (at 80%): from CHF 69,897 to CHF 80,486 (salary based on equivalent experience and internal salary scale).
- Paid holidays: 25 days per year, pro rata temporis, plus Swiss public holidays falling during the contract period.
- Pension fund: contribution to the pension fund (2nd pillar-LPP) covered 3/4 by MSF and 1/4 by the employee.
- Relocation assistance in case of moving from another country to Switzerland.
