The objectives of the diagnostic department of the Geneva University Hospitals (HUG) (comprising 9 medical services) are to provide diagnoses, therapeutic products, therapeutic procedures, and specialised clinical consultations of high medical quality, within the best possible timeframes and at an acceptable cost, to guide patient care and contribute to therapeutic decisions and actions. It develops a clear vision: to unite and be a centre of excellence in medico-technical disciplines for the benefit of patient care.
The Nuclear Medicine and Molecular Imaging Service’s main mission is to provide clinical diagnostic services using molecular imaging technologies, particularly those using radioactive sources administrable to patients. Complementing the services provided by other HUG departments, it uses radioisotopes for therapeutic purposes and for certain laboratory tests. It offers scintigraphy, single-photon emission tomography (SPECT), or positron emission tomography (PET or "PET scan") examinations. The service also develops new tracers and biomarkers applicable to molecular imaging and provides, through specific devices (X-rays, ultrasound), services for diagnosing osteoporosis and assessing body composition.
Reporting to the head of the diagnostic department, who is also the head physician of the Nuclear Medicine and Molecular Imaging Service, you assist her with both the management and administrative organisation of the department and service, in clinical, academic, and research areas, ensuring the interface between the various professional sectors.
Supporting the organisation of the head physician of the department and service, you notably organise appointments, meetings, and seminars by managing her diary. You prepare files, write meeting minutes, and coordinate the follow-up of decisions made, promoting associated communication.
While responding to various requests, you independently carry out administrative activities related to your role such as managing the schedules (VRH) of senior doctors and the secretarial team, administrating private or faculty funds, organising medical congresses and symposia, and monitoring the budget allocated to the service and research.
You demonstrate proactivity in performing logistical tasks arising from secretarial life such as orders, requests for hiring, reimbursement, or training.
Within the team, you develop close relationships with your fellow secretaries and ensure continuity of service during absences. More generally, your service-oriented attitude makes you an agile and diplomatic person.
Qualifications
You hold a diploma from a business school and advanced administrative training such as a federal certificate as an executive assistant.
You have at least 3 years of successful experience in a similar position within the medical or public health sector.
You have perfect command of French, both spoken and written, and proven writing skills. Medical terminology is easily understandable to you. Mastery of a foreign language is a real asset.
You have very good knowledge of IT tools (ECDL standard/advanced level on Word, Excel, PowerPoint, Outlook and/or Web) as well as software used at HUG (DPA, DPI, OPALE, GRECO, Winscribe and Laboratory Request).
You also possess the tools to handle unforeseen events and thus easily manage stressful situations proactively.
Finally, you demonstrate a keen sense of discretion and confidentiality.
