A long-established, high-profile single family office located just outside Lausanne, operating in a close-knit, fast-paced environment. This is a rare opportunity to join a small team supporting a busy, multi-generational family in both personal and business matters, as a administrative team assistant. This position is exclusive with Finders.
Team Assistant - Family Office
To start as soon as possible, we are seeking a polished, bilingual (EN/FR) Team Assistant with strong administrative and customer service skills. German language skills are a bonus and can be used in the role, but they are not required. You will support the Patriarch, Matriarch, and broader Family, working closely with a delightful and highly supportive General Manager and two other assistants.
This is a full-time, office-based position near Lausanne/Renens. (While the role is primarily on-site, occasional remote work may be possible by agreement, with certain blackout periods for annual vacation times - 4 weeks). Frequent visits to the villa are also required. A driving license is helpful but not essential, as public transport can be used.
Key responsibilities include, but are not limited to:
- Managing global travel and agendas
- Tracking expenses, invoices, and general finance administration
- Planning events, including menus, flowers, and bookings
- Managing communications via MS Teams and Outlook
- Liaising with suppliers (travel, construction, hotels, etc.)
- Filing, scanning, archiving, and letter-writing
- Coordinating property, vehicles, furniture, and logistics
- Handling banking payments and liaising with global service providers
- Acting as day-to-day right hand to the Principal and Family in a highly trusted team assistant role
Profile:
- Higher education preferred, or equivalent (e.g., EHL)
- Minimum 3 years' experience in a similar administrative or team assistant role within a family office, asset management, luxury sector, or equivalent environment
- Discreet, polished, and resilient; able to remain composed under pressure while managing a busy and occasionally high-stress caseload
- Strong event coordination skills with a VIP service mindset
- Tech-savvy, with proficiency in MS Office, Outlook, and Teams
- Familiarity with family office or private client environments
- Fluent in English and French (minimum C1 in both); German is a plus
- Enjoys working in a largely administrative role, even when tasks are varied, and takes pride in contributing to the smooth running of a high-profile team
