Executive Assistant to the Chief People & Culture Officer (Geneva - Switzerland)
The Executive assistant is based in Geneva, reporting to the Chief People & Culture Officer, this role goes beyond traditional support. You will act as a trusted partner to the People & Culture leadership team, helping maintain momentum on key priorities, anticipating operational needs, and contributing to a positive employee experience across a dynamic, international environment.
You will manage a broad range of responsibilities, including complex calendar coordination, executive correspondence, meeting preparation, travel logistics, and internal engagement events.
In addition to daily operations, this role offers genuine opportunities to develop and grow. You will take ownership of continuous improvement initiatives, coordinate cross-functional People & Culture projects, and progressively expand your scope and impact across the organisation.
MISSIONS AND RESPONSIBILITIES:
Executive & Administrative Support
- Provide high-level, proactive administrative and operational support to the Chief People & Culture Officer.
- Manage complex, shifting executive calendars across multiple international time zones, resolving scheduling conflicts proactively.
- Coordinate meetings, prepare agendas, compile briefing packs and presentations, track action items, and ensure thorough follow-up.
- Draft, screen, and manage executive communications and correspondence, ensuring critical priorities are flagged and deadlines met.
- Organize end-to-end travel arrangements, itineraries, and logistics.
- Handle sensitive, confidential People & Culture matters with the highest degree of discretion and integrity.
Stakeholder & Relationship Management
- Act as the primary, trusted point of contact for the Chief People & Culture Officer with internal and external stakeholders.
- Foster strong working relationships with senior leaders, committee members, and staff across global offices.
- Deliver clear, diplomatic, and solutions-oriented communication tailored to diverse audiences.
- Represent the People & Culture function with professionalism, warmth, and a strong customer-service mindset.
Engagement, Events & Teams Coordination
- Lead the planning and execution of People & Culture events, leadership workshops, and internal employee engagement initiatives.
- Oversee event logistics end-to-end, including venue sourcing, supplier management, agendas, invitations, and attendee follow-up.
- Provide flexible operational support to the wider People & Culture team during peak activity periods.
- Facilitate departmental alignment by tracking key milestones and team-wide objectives.
People & Culture Projects & Continuous Improvement
- Support and take ownership of projects across the People & Culture portfolio, including DEI initiatives, employee engagement, workplace enhancement, and organizational culture.
- Define project milestones, manage deliverables, monitor dependencies, and ensure momentum from concept to rollout.
- Contribute proactively to strategic discussions, progressive departmental initiatives, and change-management programs.
PROFILE:
- University degree in Business Administration, Human Resources or a related field
- Minimum of 5–7 years of experience as an Executive Assistant, Senior Assistant, or HR Project Coordinator supporting senior executives, ideally within an international and fast-paced environment.
- Proven track record in complex calendar management, executive logistics, and meeting governance.
- Practical experience coordinating cross-functional projects, internal events, and stakeholder workstreams.
- High digital proficiency with MS 365, SharePoint, Teams, PowerPoint and collaborative tools.
- Emotional intelligence, diplomatic judgment, and absolute discretion with confidential HR data.
