HR OPERATIONS & TRAVEL COORDINATOR
To strengthen our HR Operations team in Prilly, we are looking for a HR Operations & Travel Coordinator to support both our HR operational activities and our corporate travel management dedicated to the Headquarters in Switzerland. This position combines expertise in employee lifecycle processes and administrative travel coordination, with a strong focus on service excellence, data accuracy, and process optimization.
ROLE:
HR Operations (50%)
- Manage and support employee lifecycle processes including on-boarding (contracts, work permits, relocations, family allowances), off-boarding (work certificates, confirmation letters), and employee changes
- Act as point of contact for HR-related employee inquiries and ensure timely and accurate handling
- Coordinate with Payroll, HR teams in Switzerland and Madrid, and other internal stakeholders
- Maintain HR systems: data entry, contractual updates, organizational structure changes
- Ensure documentation of internal HR processes and application of policies
- Contribute to HR-related projects and continuous improvement initiatives
- Provide support on time management and absences
- Contribute to general administration tasks (invoices management, business cards)
Travel Administration (50%)
- Manage the Mobility Programme in Switzerland (management of the Fairmove mobility system and other administrative tasks)
- Provide administrative support to the Group Travel Management department
- Follow up on insurance certificates (International SOS) and support internal communications
- Support with the management of the Online Booking Tool
PROFILE
- CFC employé(e) de commerce, HR certificate is a plus
- Minimum of 5 years of experience in HR operations; experience in travel management is a plus
- Familiar with Swiss labour law and social security system
- Experience working with confidential data and internal regulations
- Excellent communication skills in French and English
- Proficiency in Microsoft Office, SharePoint and Successfactors; experience with PowerBI is an asset.
