For our fleet department (approx. 950 units, cars, trucks, commercial vehicles, forklifts) based in Bern, we are looking for a service-oriented personality as of 1 January 2026 for the position of
Fleet Management Specialist at 100% (m/f/d)
As a Fleet Management Specialist, you are the central contact person for all matters concerning our trucks, vehicle and forklift fleet:
- Independent assurance of the operational day-to-day business for the Swiss fleet with around 950 units (trucks, trailers, cars, commercial vehicles, forklifts, etc.) as well as coordination and prioritisation of all ongoing tasks in compliance with legal requirements and internal guidelines.
- Handling the entire vehicle lifecycle from ordering through registration, acceptance, handover and user change to return in cooperation with importers, leasing companies and internal departments.
- Monitoring leasing contracts, durations, mileages, budgets and ongoing costs as well as processing contract adjustments, excess and reduced mileage and early returns.
- Checking, controlling and processing fleet-related invoices.
- Coordinating maintenance, repairs, tyre changes, breakdowns and vehicle damage as well as handling and follow-up of damage and insurance cases in cooperation with internal and external stakeholders.
- Central contact person for vehicle users as well as internal specialist departments such as Finance, Controlling, HR and Payroll and operational interface to leasing companies, garages, insurers, tyre partners, fuel card providers and other service providers.
- Analysis, standardisation and digitalisation of fleet processes as well as ensuring an up-to-date and reliable data basis. Development of automated workflows, key figures and reports to reduce costs, error rates, throughput times and administrative effort.
- Implementation of the gradual electrification of the fleet as well as coordination and follow-up of vehicle conversions, charging infrastructure, site requirements, service providers, internal departments, appointments, costs and project progress.
- Support in tariff negotiations with service partners, independent conduct of smaller contract negotiations.
- Close cooperation with the Fleet Manager on optimisation measures, projects and cross-departmental topics.
To successfully master these diverse challenges, you bring the following skills:
- Solid experience in fleet management, the automotive sector or administrative functions with a high degree of coordination
- Sound knowledge of the automotive industry
- Good to very good German, French and English skills, both spoken and written
- Experience in leasing and claims management is an advantage
- Technical affinity as well as analytical skills
- Digital affinity and confident handling of MS Office as well as IT/ERP tools
- Strong organisational skills and enjoyment in dealing with people
- Communication skills, service orientation, project management experience and negotiation skills
- Precise, conscientious, independent, structured and responsible working style
- Flexibility, resilience and ability to work in a team
