Responsibilities
This role is ideal for someone who enjoys multitasking, interacting with people from diverse backgrounds, and ensuring smooth day-to-day office operations.
- Welcome and assist visitors and external clients in a professional and friendly manner
- Manage incoming calls, emails, and general reception inquiries
- Coordinate meeting room bookings and ensure rooms are prepared and maintained between meetings
- Organize refreshments, catering, and lunch orders for meetings and workshops
- Register visitors and manage the daily reception calendar
- Support internal teams with administrative and coordination tasks
- Manage incoming mail, deliveries, and courier services
- Assist with invoice processing and documentation support with the finance team
- Maintain office kitchen supplies and manage weekly orders
- Work closely with the Facilities team to ensure smooth office operations
Profile
- 2-5 years of experience in a receptionist, front desk, or office support role
- Experience working in an international or corporate environment is a strong advantage
- Fluent in English and German (spoken and written); additional languages are a plus
- Strong organizational and multitasking skills
- Professional and welcoming communication style
- Comfortable handling multiple priorities and last-minute requests
- Proactive, reliable, and detail-oriented
- Strong team spirit and client-focused mindset
- Confident using Microsoft Office and common office systems
