About the job
General Mission
The person holding the position provides administrative, organisational and operational support within apiah. They contribute to the smooth running of the employers' secretariat, the quality of service provided to members, as well as the coordination of the association's internal and external activities. They also intervene in the follow-up of files, communication management, event organisation, updating digital tools and handling specific requests, notably in connection with Prevhor, members and the association's partners.
Main Activities
- Ensure telephone reception and handle general requests addressed to the secretariat.
- Prepare, write, proofread and format letters, emails, circulars, minutes, reports, internal documents and meeting materials.
- Participate in the administrative follow-up of members, notably updating databases, personnel census and information related to affiliations.
- Process, follow up and file requests related to Prevhor reimbursements and certificates, in liaison with beneficiaries, companies and relevant partners.
- Contribute to the organisation of events, meetings, general assemblies and institutional meetings, including coordination with external service providers.
- Manage documentation, digital filing and follow-up of administrative, technical or real estate files.
- Update the content of the website, member area and the association's digital communication channels.
- Participate in improving internal processes, notably in administrative, IT, documentation and communication areas.
- Collaborate in preparing presentations, tracking tables, communication materials and summary documents for the association's bodies.
- Participate in the preparation, monitoring and control of invoicing, notably related to subscriptions, services, events or re-invoicing, in coordination with the person responsible for accounting.
- Provide occasional support for accounting, administrative and logistical operations as needed by the secretariat.
Required Skills
- Commercial employee CFC training or equivalent qualification
- Experience in a versatile administrative role, ideally within an association, employers' organisation, executive secretariat or institutional environment.
- Excellent writing skills in French, with particular attention to accuracy, associative tone and formal quality of documents.
- Very good command of common office tools and collaborative environments.
- Ease in using and updating digital content, notably website, member area or communication materials.
- Ability to manage several files simultaneously, meet deadlines and prioritise tasks.
- Organisational skills, rigour, autonomy and discretion in handling information.
- Service orientation, interpersonal skills and ability to communicate with various interlocutors: management members, human resources staff, service beneficiaries, providers, association bodies, union staff.
Language Skills
- Perfect command of spoken and written French.
- Good skills in German, both spoken and written, enabling handling requests from German-speaking members or partners, understanding administrative or institutional documents and drafting simple to intermediate responses.
- The ability to proofread, adapt or prepare bilingual French-German communications is a significant asset.

Position within the Organisation
The role is attached to the employers' secretariat of apiah and works in direct collaboration with the general secretary as well as with the association's collaborators. It involves regular contacts with member companies, institutional partners, external service providers and, depending on the files, the association's bodies.
