With nearly 1,200 employees, the Department of Acute Medicine (D-MA) includes the anaesthesiology, clinical pharmacology and toxicology, adult intensive care, and adult emergency services. It fulfils a fourfold mission through its services, which provide their expertise in frequent interaction with the entire Geneva University Hospitals, thanks to a transversal platform, with the aim of ensuring the best possible care for patients.
The Anaesthesiology Service is a transversal service of the HUG at the heart of the technical platform. With its 7 medical units and a research and innovation unit, its mission is to ensure the comfort and safety of patients during therapeutic or diagnostic procedures, medical or surgical, as well as during post-interventional care, while ensuring effective pain management.
The largest centre in Switzerland in terms of the number of interventional procedures performed annually, the Anaesthesiology Service is at the forefront of advances in this field. The service also provides pre- and post-graduate teaching and continuous training for nursing staff and doctors in specialised training. As a service provider, anaesthesiology also intervenes in the field of interventional pain management and in life-threatening emergency situations both intra-hospital and pre-hospital alongside the Emergency Service.
Within the Anaesthesiology Service, you will perform all administrative tasks related to the service's consultations.
You manage the scheduling of anaesthesiology consultations (appointment booking, invitations, file preparation, document scanning) and organise additional examinations, while ensuring the proper follow-up of the medical file and the patient’s pathway.
You handle telephone calls as well as the physical reception of patients and/or their relatives.
You manage mail and email correspondence.
You handle patient and insurance files and complaints (follow-up, typing documents, research, filing, scanning) and participate in the follow-up of files for billing purposes.
You draft and format various documents (correspondence, minutes, medical reports, reports, development/update of procedures, etc.) and carry out logistical tasks such as work requests, stock management, and room bookings.
You enter and update statistics related to the activity.
Thanks to your interpersonal skills, you develop a close relationship with your colleagues and provide continuity of service by covering absences to ensure uninterrupted service. More generally, your service-oriented attitude makes you a flexible person ready to apply your versatility within the institution to work in different departments according to needs.
Qualifications
You hold a diploma as a medical secretary.
You have 3 to 5 years of successful experience in a similar position within a medical secretariat.
You have perfect mastery of written and spoken French and proven writing skills, as well as medical terminology. Knowledge of English is an asset.
You have very good knowledge of IT tools (ECDL advanced level required for Word and standard for Excel, PowerPoint, Outlook and/or Web) as well as software used at HUG (DPA, DPI, GRECO, Qualiac, Opale).
You have a good team spirit and the ability to work in a shared office with several secretaries.
While having excellent organisational skills and the ability to prioritise, you are autonomous, dynamic, rigorous, and precise in the tasks assigned to you.
You also have the tools to cope with unforeseen events and to manage stressful situations easily. Finally, you demonstrate a strong sense of confidentiality.
