Attached to the Department of Medicine , the Immunology and Allergology Service participates in the diagnostic and therapeutic management of patients suffering from acute and chronic immunological and allergic diseases.
Within the secretariat of the Immunology and Allergology Service, currently composed of three medical secretaries, your mission is to organise and independently ensure the daily work related to the activity of the assistant doctors as well as the heads of clinics and the interns of the allergology unit.
Thanks to your interpersonal skills, you welcome, inform and direct patients presenting in allergology and manage the telephone calls you receive.
You organise consultations by managing the doctors’ electronic calendars and preparing patient files. If necessary, you schedule additional medical examinations and retrieve medical reports, and you take care of allergy passports.
You also ensure the management and follow-up of insurance requests (DRM), the management of ADR AC laboratory scheduling (Bern), the management of social care requests and capillaroscopy examinations to be exported into DPI.
While responding to various requests, you successfully and independently carry out administrative activities related to your role such as patient file follow-up, mail and email management.
You demonstrate proactivity in performing logistical tasks arising from the life of a secretariat such as receiving, sorting, distributing and/or following up on paper mail and orders, scanning and archiving various documents.
Within the team, you develop a close relationship with your fellow medical secretaries (ensuring continuity of service during absences) as well as with the medical and nursing team. More generally, your service-oriented attitude makes you an agile person ready to use your versatility to serve the institution by working in different departments according to needs.
Qualifications
You hold a Federal VET Diploma as a commercial employee and a medical secretary diploma, or any training deemed equivalent.
You have successful experience in a similar position within a medical secretariat.
You have a very good knowledge of IT tools (ECDL advanced certification for Word and standard for Excel), ideally also the institutional software in use at the HUG (DPA, DPI, GRECO 2, OPALE).
You have perfect command of French, both spoken and written, and proven writing skills. Medical terminology is easily understandable to you. Knowledge of English is an asset.
Possessing a good team spirit, you are able to work in a shared office with several secretaries. While having a good sense of organisation and priorities, you are autonomous, rigorous and precise in the tasks entrusted to you.
You also have the tools to cope with unforeseen events and thus easily manage stressful situations.
Finally, you demonstrate a keen sense of confidentiality.
