Specialist in Administration and Course Organisation 40-60%
HEKS in-fra is a language and integration programme for women, men, and children, offering German courses at various levels in the canton of Thurgau. Currently, there are 50 semester courses at 4 locations (Arbon, Amriswil, Weinfelden, and Kreuzlingen), conducted by 20 course instructors for language and integration. HEKS in-fra is also a qualified fide examination institution.
Starting immediately, limited until 31.12.2027 with the prospect of extension or permanent employment, we are looking for a:
You are the administrative and organisational hub of the course operations. You ensure that data, information, and processes reliably converge, administration runs smoothly, and concerns are handled efficiently.
These are your main tasks:
Course administration and data management
- You coordinate the administration around participants and courses, receive course registrations, and enter them into the system.
- You communicate with external bodies and plan the course offerings together with internal specialists. You keep an overview even with changes and new requirements.
Invoicing and administration
- You prepare course billing, create invoices, and keep track of payments and outstanding items.
- You operate the counter and are the contact person for questions and concerns from interested parties and course participants.
Coordination and collaboration
- As a hub, you work closely with participants, referring agencies, course instructors, and internal functions.
- You coordinate concerns, bring the right people together, and ensure that information flows reliably.
Processes and further development
- You identify potential improvements, contribute your own ideas, and help make administrative processes simpler, more digital, and more efficient.
- You are an organisational talent with a quick grasp and a good sense of context.
- You work independently, structured, and very reliably, and feel at home dealing with data and digital work tools. Accuracy and reliability are a matter of course for you.
- You are a team player, enjoy working with different people and functions, and can bring together various perspectives and needs.
- You approach changes openly and flexibly. Where not everything is yet defined or established, you see room for design rather than obstacles.
