About the job
The University of St.Gallen is a place of encounter. Events on campus create spaces for exchange and joint learning, far beyond everyday study life. The Events Office creates the conditions for this togetherness: it is responsible for the major university events, from Graduation Days to Dies academicus to the Public Programme, and is also the central contact point for the planning, coordination and approval of events at the university. The team continuously develops event management at HSG and works closely with partners inside and outside the university – so that events bring together what makes the university: students, researchers, staff, alumni and guests, a community that extends beyond the campus.
Your tasks
In this versatile role, you actively shape the event activities at HSG:
- You plan and coordinate events and advise internal and external organisers on implementation in line with the university’s strategy and core mission.
- You act as the central contact point for internal and external event enquiries, assess their feasibility and coordinate the enquiry, offer and capacity management efficiently and service-oriented.
- You independently coordinate selected event projects and organise situational events – from the idea to follow-up.
- You plan, coordinate and realise the Public Lectures, thus creating encounters between the university and the public.
- You design and coordinate the programme overviews of the Public Programme and ensure their implementation in print and online.
- You manage the event tools, further develop the central event calendar and contribute to the further development and digitalisation of event processes.
- You manage the assigned resources and budgets and ensure the administrative processing of fees and invoices.
- You systematically evaluate events, prepare the findings and derive recommendations and impulses for the further development of our formats and processes.
Your profile
- Completed training in the commercial field or in event management (EFZ, HF, Bachelor) or equivalent qualification
- Further training in event or project management (e.g. event manager with federal certificate, CAS, project management certification) is an advantage
- At least two years of professional experience in event or project management, ideally in a higher education or non-profit environment
- Sound knowledge in event planning, capacity and resource coordination
- Experience in budget and financial management of events
- Knowledge of evaluation methods and reporting
- Confident use of MS Office (especially Excel, Outlook, Teams)
- Experience with event planning and room booking tools
- Knowledge of Typo3 or comparable content management systems is an advantage
- Strong organisational talent with a proactive, structured and team-oriented working style
- High quality, solution and service orientation
- Resilience and flexibility, especially in phases with a high density of events
- Confident communication skills in German and very good English skills
- Enjoyment in dealing with different stakeholders and in shaping the HSG community
