With nearly 1,200 employees, the Acute Medicine Department (D-MA) includes the Services of Anaesthesiology, Clinical Pharmacology and Toxicology, Intensive Care, and Emergency. It fulfils a fourfold mission through its services which provide their expertise in frequent interaction with the entire Geneva University Hospitals, thanks to a transversal platform, with the aim of ensuring the best possible care for patients.
You are the reference person for managing the department’s third-party funds. You carry out certain accounting operations such as invoicing third parties, accounting reclassification entries, and payment requests.
You assist the Administrative and Financial Manager (AFM) team with administrative tasks (telephone reception, mail processing, organising meetings).
You check the accuracy and documentation of expense and training reimbursement requests.
You make decisions in routine matters and in the handling of assigned files, respecting budgets and current directives, escalating complex or particular situations to your hierarchy with proposed solutions.
Under delegation from the AFM, you check invoices and authorise payments to suppliers. You control and validate the department’s orders.
You ensure the monitoring and control of outpatient billing for the various services using dashboards and tools provided, in collaboration with the Admission and Billing Centres, doctors, and department secretariats.
You participate in departmental and/or institutional projects.
Qualifications
You hold a commercial apprenticeship certificate (CFC) or a commercial/professional maturity diploma, or any equivalent training deemed appropriate.
You have 3 to 5 years of successful experience in a similar position related to administrative and financial management.
You are proficient with common IT tools (Word, Excel, PowerPoint, Outlook and/or Web - ECDL Base certification required for Word and PowerPoint and Advanced for Excel); additionally, knowledge of the CEGID ERP and software used at the HUG (DPA, DPI, eProcess, GRECO, Opale) is an asset.
You possess excellent organisational skills and the ability to manage priorities. You are capable of handling multiple activities with versatility in a demanding environment while being able to analyse received information.
You demonstrate rigour in your approach and are able to comply with current standards and procedures. You show discretion and respect for professional confidentiality.
You have a strong aptitude for teamwork and are service/quality oriented, with a high level of autonomy and initiative as well as a strong sense of responsibility and organisation.
You know how to develop constructive and trusting relationships with the various interlocutors of the department and the institution.
