Secretary at the Ambulatory Surgery Centre (ASC)
The Ambulatory Surgery Centre (ASC) of the CHUV is looking for a secretary / file manager, at a 70% workload. The contract is permanent and the starting date is to be agreed upon.
Context
The Lausanne University Hospital (CHUV) is one of the 5 Swiss university hospitals. Thanks to its collaboration with the Faculty of Biology and Medicine of the University of Lausanne and EPFL, the CHUV plays a leading role in medical care, medical research and education.
The Ambulatory Surgery Centre (ASC) provides care for patients undergoing outpatient surgical procedures. The ASC secretariat is the central point of contact between patients, medical and nursing teams, and the various stakeholders of the centre.
Mission
- You ensure the reception of patients and visitors, as well as the administrative and IT management of their files
- You manage patient movements in institutional systems (AXYA, DIGISTAT, SOARIAN)
- You prepare patient files, ensure their follow-up and transmission to medical and nursing teams
- You answer telephone calls and organise appointments according to doctors’ requests
- You manage CPC and post-operative appointments, notably for hand surgery
- You prepare and send patient appointment letters and manage rescheduling and cancellations
- You coordinate patient care between the different stakeholders of the centre and maintain administrative links with external medical practices
- You perform secretarial tasks for the centre: receiving and distributing mail, drafting correspondence, updating operational documents
- You ensure the proper presentation of the reception area and the Service’s brand image.
Profile
- You hold a Federal VET Diploma as a commercial employee or an equivalent qualification; medical secretary training is an asset
- You have at least 2 years’ experience in medical or administrative secretarial work
- You have excellent command of French and medical terminology
- You possess good knowledge of office software; knowledge of institutional tools is an asset
- You demonstrate autonomy, flexibility, interpersonal skills, diplomacy and organisational sense
- Available and flexible, you contribute to the continuity of the Service by covering absences or holidays during desk hours (06:30 to 18:00).
