The Company:
IHMA Europe Sàrl under its corporate name, IHMA Inc., provides customized products and services (such as In vitro studies of new and existing antimicrobials and In vitro reference and collection laboratory for Phase II, III, and IV programs) to clients engaged in the fight against infectious diseases. The company and the working place for this position is based in Monthey (Valais).

Position Overview:
The Management Assistant is responsible for the efficient and timely running of tasks within the areas of human resources and administration, will interact directly with various members of IHMA's management leadership team in Monthey and will report directly to the CEO of IHMA Europe.

Management Assistant (Full-Time)

Major Job Activities & Functions in line with IHMA Europe Sàrl Management's needs:

Human Resources
- Organization and archiving of staff work contracts, job descriptions, curriculum vitaes and other staff related documents ad hoc and document updating
- New-employee & terminating-employee related tasks, including work permits, pension fund etc
- Monitoring and organization of staff working time (TimeBox system), holiday requests, staff absences, training and maintenance of staff presence/absence calendar & communicating overtime etc needs to external fiduciaire, reporting absences to company insurance, awareness on legal changes to company contracts
- Assisting managers in preparation and follow-up on Mid-Year/ End-of-The-Year-Appraisals
- Assist managers in conflict management discussions with employees

General Administration
- Assist in organization of IHMA Europe staff attendance at scientific meetings (ECCMID, ICAAC, others) & external workshops/training courses etc. including travel /hotel arrangements and post-travel reimbursements
- Ordering of office and laboratory based materials and follow up (tracking of orders that have arrived and document archiving)
- Assist with updates of SOPs and archiving of SOPs (electronic & printed), archiving of documents according to SOP

We are looking for:
- +3 years' experience in an administration / human resources environment
- Fluency in French and English required. German a plus
- Good knowledge of Office programs (Word, Excel, Outlook)
- Start date: Immediately
