Job Description
Position: Senior Business Assistant (m/f/x)
Location: Geneva
Do you want to be part of our dynamic and high-paced P&G environment? If yes, we would like you to join us as a Senior Business Assistant!
In this role, you will be supporting senior leaders to ensure meetings, events and activities are carried out with accuracy and agility. You should be well-versed in technical office tools and software applications, calendar management, and coordinating travel and business meetings. You will also support the business by proactively handling projects and enabling other team members to do their jobs. Finally, you will as well be responsible for budget tracking and reporting and you will handle highly restricted internal and external information.
Your main responsibilities will be:
1.Management of the 2 VPs and 1 Senior Director (80%)
Complex Calendar management and meetings owner (different time zones)
Pre-reading / Pre-work
International travel arrangement / Visas as well as travel expenses
Long term planning
Compiling documents, presentations, etc
Announcements, Org chart & Distribution list updates
Purchase Orders
2. Administrative support to the Brand Leaders (20%)
Complex travel arrangement / Visas, including travel expenses
Handle meeting requests
Lead & coordinate projects given by the functional leaders on an ad-hoc basis as needed and required
Purchase Orders creation, tracking and budget allocation
Job Qualifications
Excellent Administrative & IT Skills: Office work-flow management, calendar management, domestic and international travel including anticipating visa needs, expense/budget management. Proficiency in Outlook, Word, Excel and PowerPoint.
Systematically prioritize and plan, strong follow-through and accountability. Attention to details is key.
Ability to handle complex situations under full autonomy with sense of urgency. Handle accurately multiple tasks.
Ability to work independently and pro-actively with strong ownership and initiative taking.
“Can do” attitude acting with sense of urgency and service oriented.
Strong communication and collaboration skills (English & French) are a must.
Acting with confidentiality and sensitivity, strong team spirit.
High commitment to the job, self-motivation and maturity are other important pre-requisites.
What we are looking for:
Minimum of a commercial diploma “CFC” (but no university degree) or equivalent work experience
First experience as administrative assistant experience supporting senior executive management
Advanced computer skills (Microsoft Office tools, SAP, Concur)
Strong organizational and time management skills
English proficiency: Proficient verbal and written communications skills
High level of accuracy and attention to detail
Diplomacy and discretion
