As an Events Assistant, you will be instrumental in helping our client team delivering successful in-person and virtual events. Your role will encompass managing logistics, overseeing participant management, and ensuring seamless operations. This is a temporary role starting ASAP until the end of the year.

Missions

Event Preparation: Support the organization of in-person and virtual events, including logistical arrangements and on-site coordination.
Participant Management: Handle event registration, manage RSVP's, keep communication channels updated, and respond to general queries and requests.
Logistics Coordination: Assist in preparing participant logistics such as visa letters, travel arrangements, and Per Diem coordination.
Event Support: Provide on-site support during event setup, teardown, and operations, including welcoming delegates and troubleshooting.
Supplier Management: Carry out research on venues, restaurants, and suppliers, and maintain an updated database.
Material Coordination: Manage the production of event materials, including badges, signage, and promotional items.
Administrative Support: Provide general support to the Marketing & Creative Direction Team and other internal functions as needed.
Compliance and Follow-Up: Manage internal contracting processes, supplier setup, and Purchase Orders, ensuring compliance and timely follow-up.

Profil du candidat

Minimum of 2 years of experience as an Assistant, Logistics Assistant or Events Assistant.

  • Previous experience in event planning within a fast-paced environment.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines effectively.
  • Excellent written and oral communication skills.
  • Comfortable engaging with senior-level stakeholders and guests.
  • Exceptional attention to detail to ensure flawless event execution.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and a willingness to learn event management software/tools.
