As a receptionnist, you will be responsible for providing administrative support and ensuring smooth day-to-day operations. The role will involve managing the front desk, greeting visitors, handling incoming calls, and assisting with various administrative tasks
Receptionnist
The client is a fast growing trading human-sized company located in the center of Geneva.
Description
Front Desk Management:
- Greet visitors, clients, and employees in a professional and friendly manner. Maintain a neat and organised reception area.
- Direct visitors to appropriate individuals or meeting rooms. Offer beverages to visitors.
- Answer and route incoming calls to the appropriate departments or individuals. Manage incoming and outgoing mail, packages, and deliveries.
- Responsible for picking-up the post every morning on a daily basis.
Administrative Support
- Provide general administrative support to the company's staff and executives. Schedule and coordinate appointments, meetings, and conferences. Prepare meeting rooms, including arranging equipment and materials.
- Assist with travel arrangements and accommodation bookings. Maintain and update company databases, records, and filing systems. Prepare and modify documents, reports, and presentations as requested.
Communication and Correspondence:
- Handle incoming and outgoing correspondence, including emails and letters.
- Assist in drafting and proofreading company documents and communications where required. Respond to inquiries and provide information to callers or visitors.
Inventory and Supplies:
- Monitor and maintain office supplies, including ordering new supplies as needed.
- Coordinate with vendors and suppliers for office equipment maintenance and repairs, including renegotiating annual contract renewals.
Miscellaneous Duties:
- Assist with basic accounting tasks, such as data entry and expense tracking. Collaborate with other administrative staff to ensure efficient office operations. Support ad-hoc projects and assignments as assigned by management
Profile
- Bilingual in English and French. Well presented.
- Have experience as a receptionist, administrative assistant, or similar role. Excellent written and verbal communication skills in English and French. Work under pressure.
- Be flexible with the working hours.
- Proficient in using office software (e.g., MS Office, email, outlook). Strong organisational skills with the ability to multitask and prioritise. Attention to detail and accuracy in handling administrative tasks.
- Ability to maintain confidentiality and handle sensitive information with discretion. Professional and friendly attitude with excellent customer service skills. Be attentive to costs, costs efficiency
