Job DescriptionYour mission
Within the general management secretariat, you provide high-level support to the Deputy General Director and the General Secretary. You facilitate their daily work, the flow of information, and the follow-up of files within their remit.
You contribute to the smooth running of the Board of Directors (BoD) and the Audit Committee, support the BoD chairmanship, and provide administrative support to the Internal Audit Service, respecting its independence.
You also organise seminars and institutional meetings. Proactive and reliable, you anticipate needs, monitor deadlines, and alert when the situation requires it.
Your main activities
- Provide secretarial support to the Deputy General Director and the General Secretary: managing diaries, correspondence, mail, invoices, expense claims, and routine administrative follow-up;
- Organise meetings of the Board of Directors and the Audit Committee: preparing files, coordinating participants, minutes, signatures, documentation, and monitoring decisions and deadlines;
- Provide administrative support to the BoD chairmanship, coordinate with board members, and support the Internal Audit Service; contribute, as needed, to governance files (committees, powers of attorney, audit body, notably);
- Organise management meetings, general management seminars, and other institutional events; prepare materials and ensure availability and archiving of documentation;
- Maintain administrative liaison with the supervisory department as well as with other departments and state services for files within the scope of the position;
- Anticipate needs, identify points of attention, carry out necessary follow-ups, and alert or request validation when the situation demands.
Your profile
- Maturity complemented by commercial training or equivalent - Executive assistant training is an asset;
- At least 5 years of experience in an executive secretariat, ideally with exposure to governance bodies, committees, or institutional events;
- Good understanding or strong interest in the functioning of the Geneva cantonal public administration and its institutions;
- Excellent writing skills and ability to quickly produce clear, precise, and appropriate documents for the audience;
- Excellent command of IT and collaborative tools, notably Microsoft 365, and ease in managing information and documentation;
- Sense of public service, discretion, and discernment in handling confidential information;
- Strong ability to anticipate and prioritise, initiative, reliability in follow-up, and ability to quickly understand issues beyond the administrative task alone.
