Caux Initiatives and Change is a Swiss public utility foundation founded in 1946, with the acquisition of the Caux Palace as a dialogue centre. Our offices are located in Caux and Geneva, where we organise international and local conferences, seminars, and retreats. Our flagship event, the Caux Forum, takes place every summer in collaboration with the global Initiatives and Change network and its partners. Our mission is to foster exchanges between people of diverse cultures, origins, and beliefs, promoting trust, ethical leadership, sustainable living, and human security.
Programme Coordinator
Your role
As a Programme Coordinator, you will play a key role in planning, organising, and coordinating the Foundation's programmes and events. You will oversee the various stages of projects, from preparation to evaluation, in collaboration with internal teams, volunteers, speakers, and partners. You will ensure the smooth coordination of logistical, administrative, and organisational aspects, while guaranteeing effective communication between all stakeholders. This varied and dynamic position will allow you to actively contribute to the Foundation's mission and the success of its programmes.
Tasks and responsibilities
Event planning and coordination:
- Participate in the development and implementation of event planning, schedules, and budgets.
- Collaborate with internal teams, especially those responsible for communication and reception, to align objectives and event content.
- Attend event committee meetings, monitor schedules and key milestones, and ensure follow-ups are carried out. Write minutes if necessary or ensure proper documentation.
- Coordinate logistics with the event committee, managing speaker lists.
- Work with the hospitality team (for events in Caux) and external providers (for events in Geneva) to organise rooms, catering, audio-visual equipment, transport, registration forms, and accommodation.
Communications, marketing and promotion:
- Centralise and provide programme and speaker information to the communication team for digital publication and presentations.
- Coordinate with the communication team to manage the event promotion strategy, including invitations, social media planning, and promotional material needs.
- Monitor attendance by coordinating registrations and tracking confirmations with the hospitality and communication teams.
- Ensure all event materials (signage, programmes, badges, and promotional items) are prepared in collaboration with the hospitality and communication teams.
On-site event management:
- Supervise setup, registrations, and issue management to ensure smooth running.
- Coordinate with event staff, volunteers, and speakers to guarantee a seamless flow.
- Manage audio-visual installations and rooms with providers.
- Handle on-site coordination, including event schedules, setup, and last-minute changes.
- Coordinate interpreters.
Post-event:
- Conduct post-event evaluations to gather feedback and identify areas for improvement.
- Assist in drafting reports on event outcomes, including participation rates, financial performance, and satisfaction of participants and speakers.
- Coordinate invoicing and consolidation.
Your profile
- A genuine passion for the mission of the Caux Initiatives of Change Foundation.
- A positive attitude, open mind, and strong team spirit.
- Excellent organisational, communication, and problem-solving skills, especially under pressure.
- Good knowledge and understanding of international politics, political processes, and policy development.
- Proven experience in managing large-scale events or conferences, particularly at the international level.
- Fluency in English and French, both written and spoken, with excellent writing skills.
- Exceptional team coordination, project management, and interpersonal skills.
- Ability to relate to people from diverse backgrounds, cultures, and worldviews, respecting different perspectives.
- Comfortable working under pressure and meeting tight deadlines.
