The Medical and Quality Directorate is a professional structure embodying medical authority as defined by the Geneva law on public medical institutions. Its mission is to guarantee the quality and safety of medical services offered by the HUG. It develops, after consultation with the Medical Establishment Council, the medical policy of the HUG and proposes it to the competent bodies. It ensures its application throughout the HUG and is accountable to the Executive Committee and the Board of Directors. The Medical Director is particularly responsible for clinical research and postgraduate training. She approves the medical and therapeutic practices of the medical services and units.
Within the Medical and Quality Directorate, you will independently and in close collaboration with other secretariat members, manage the activities of an institutional executive secretariat. You provide the necessary support to the Medical Director, a member of the Executive Committee, in carrying out her duties and contribute to the smooth functioning of the Medical and Quality Directorate. In an environment involving numerous internal and external stakeholders, you deliver services with a high degree of professionalism, autonomy and discretion, while strictly respecting confidentiality and considering institutional issues.
You manage and follow up on sometimes complex files, coordinate exchanges with directorates, services, authorities, institutional bodies and external partners, and contribute to the preparation of elements necessary for decision-making by the Medical and Quality Directorate.
Within the scope of delegated responsibilities, you must be able to make decisions within your area of responsibility, assessing associated risks and mobilising necessary resources, including directors of various Directorates and/or heads of Departments.
Depending on the secretariat’s organisation and the needs of the Medical and Quality Directorate, you may also be entrusted with responsibility for specific activities, supporting bodies, committees, projects or cross-functional processes for which you will ensure administrative coordination and follow-up within the role. You also independently carry out various administrative tasks for the Medical and Quality Directorate, notably in connection with support for members of the Directorate team.
All your activities must be carried out with a team spirit, enabling proactive functioning of the Medical and Quality Directorate secretariat.
Qualifications
Holding a commercial maturity certificate and the federal diploma of executive assistant (or an equivalent qualification), you have at least 5 years’ professional experience in an executive assistant role within a large organisation.
You possess excellent organisational skills, administrative rigour and outstanding priority management. In your previous roles, you have handled complex files involving multiple stakeholders. Your excellent analytical and synthesis skills allow you to anticipate needs, assess issues, manage several activities simultaneously and steer files with discernment in a demanding environment.
You have excellent interpersonal and communication skills and demonstrate diplomacy with your contacts. You place great importance on service delivery and absolute confidentiality. Naturally flexible, committed and dynamic, you prioritise teamwork and collaboration.
You have perfect command of French and possess a high level of writing skills. You have expertise in using office and management IT tools. Finally, your language skills in English and/or German are assets for the position.
