The Department of Surgery provides care for patients 24/7, both elective and emergency cases requiring surgical intervention. It represents a centre of excellence, not only Swiss but also European in several fields and in many of its surgical specialties.
Within this department, hand and peripheral nerve surgery is attached to the Orthopaedic Surgery and Musculoskeletal Traumatology Service and constitutes the largest centre of its kind in Switzerland. It offers cutting-edge care covering all areas of reconstructive orthopaedic surgery and adult trauma, including complex and highly specialised situations. The service performs more than 6,500 surgical interventions each year and provides approximately 45,000 consultations. It relies on a multidisciplinary approach, high-level infrastructure, and strong involvement in university teaching and clinical research.
This newly created position is part of the ALTER deployment, which aims to ensure compliance of work organisation with the Labour Law (LTr).
Within the secretariat of the hand surgery unit, currently composed of two medical secretaries, your mission is to organise and independently manage the daily work related to the activity of the three assistant doctors and the four heads of clinics.
Thanks to your interpersonal skills, you welcome, inform and direct patients presenting to hand surgery and manage the telephone calls you receive.
You organise consultations by managing the doctors’ electronic calendars and preparing patient files. After consultations, you independently and promptly type medical reports, discharge letters and operative reports. If necessary, you schedule additional medical examinations. You also manage and follow up insurance requests (DRM).
While responding to various requests, you successfully and independently carry out administrative activities related to your role such as patient file follow-up, mail and email management.
You demonstrate proactivity in performing logistical tasks arising from secretariat life such as receiving, sorting, distributing and/or following up on paper mail and orders, scanning and archiving various documents.
Within the team, you develop a close relationship with your fellow medical secretaries and ensure continuity of service during absences. More generally, your service-oriented attitude makes you an agile person ready to use your versatility to serve the institution by working in different departments according to needs.
Qualifications
You hold a Federal VET Diploma as a commercial employee and a medical secretary diploma, or any equivalent training.
You have proven experience in a similar position within a medical secretariat.
You have very good knowledge of IT tools (ECDL certification required: advanced level in Word, and standard in Excel), ideally also of the institutional software used at HUG (DPA, DPI, GRECO 2, OPALE).
You have perfect command of French, both spoken and written, and proven writing skills. Medical terminology is easily understandable to you. Knowledge of English is an asset.
Possessing a good team spirit, you are able to work in a shared office with several secretaries. While having good organisational skills and prioritisation, you are autonomous, rigorous and precise in the tasks entrusted to you.
You also have the tools to cope with unforeseen events and thus easily manage stressful situations.
Finally, you demonstrate a strong sense of confidentiality.
