About the job
With more than 13,000 employees representing 160 professions, the Geneva University Hospitals are a reference institution at both national and international levels. To learn more about our institution, take a few minutes to view our 2025 retrospective by clicking here .
With nearly 1,200 employees, the Department of Acute Medicine (DMA) includes the anaesthesiology, clinical pharmacology and toxicology, intensive care, and emergency services. It fulfils a fourfold mission through its services, which provide expertise in frequent interaction with the entire Geneva University Hospitals, thanks to a transversal platform, aiming to ensure the best possible patient care.
The Anaesthesiology Service is a transversal service of the HUG at the heart of the technical platform. With its 7 medical units and a research and innovation unit, its mission is to ensure the comfort and safety of patients during therapeutic or diagnostic procedures, medical or surgical, as well as during post-interventional care, while ensuring effective pain management. As the largest centre in Switzerland by number of interventional acts performed annually, the Anaesthesiology Service is at the forefront of advances in this field. The service also provides pre- and post-graduate and continuing education for nurses and doctors in specialised training. As a service provider, anaesthesiology also intervenes in interventional pain management and in life-threatening emergency situations both intra-hospital and pre-hospital alongside the Emergency Service.
The position is attached to the hospital-university anaesthesiology investigations unit, which aims to support the implementation, management, and promotion of clinical and translational research projects in connection with clinical services, the Faculty of Medicine, and institutional partners, and to the paediatric anaesthesia unit. It does not involve patient reception activities.
Within the framework of the two units:
Reporting to the management of both units, you autonomously manage the secretarial duties in all areas related to their hospital, academic, and institutional activities, making decisions according to delegated authority after reviewing files.
You manage and organise the diaries of the two unit heads, filter requests, and act as the interface with internal and external contacts (department, faculty, and partners).
You handle training requests, congresses, etc., organise travel and process reimbursement requests for related expenses, and manage access requests for all senior doctors of the two units.
You contribute to data entry and monitoring in the VRH tool for the two teams, to the administrative reception of new collaborators (research nurses, doctoral candidates, interns), and to the preparation of employment files.
You support the administrative management of hospital (HUG) and faculty (UNIGE) accounts: supporting documents, expense claims, commitments, monitoring deadlines and closures, in liaison with the accounting departments of both institutions. You provide administrative support to the unit heads in the recruitment process of new staff and manage the schedules and absences of hospital-university personnel on institutional time management applications.
As assistant to the hospital-university professor responsible for the Anaesthesiology Investigations Unit:
You organise team meetings, strategic committees, project sessions, write minutes, and ensure follow-up on decisions.
You contribute to the administrative life of research projects (agreements, circulation of signatures, filing of administrative files, defences, and meetings).
You keep the intranet and unit web pages up to date, the list of supported projects both clinical and faculty-related, as well as mailing lists and the organisational chart.
You draft and format letters, notes, activity and financial reports, and presentations.
You ensure secretarial continuity in the absence of management, within the scope of delegated authority.
As assistant to the hospital-university professor responsible for the Paediatric Anaesthesia Unit:
You assist with managing on-call duties for doctors in the sector and duty rosters. You act as the interface with all partners of the paediatric anaesthesiology service, notably for transplants and liver assessments.
You manage insurance expert assessments and follow up on dispute files. Thanks to your interpersonal skills, you collaborate with multidisciplinary teams, collaborators, partner sectors, private individuals, and other services. You interact with your colleagues in the department.
More generally, your service-oriented attitude makes you an agile person ready to apply your versatility to serve the institution by working in different services according to needs.
Qualifications
You hold a Federal VET Diploma as a commercial employee or an equivalent qualification, complemented by a federal certificate as an assistant to management, or training or experience deemed equivalent.
You have at least 2 years’ experience in a similar position, ideally supporting a medical, academic, or public health executive.
You have excellent command of IT tools (ECDL advanced for Word, Excel and PowerPoint, standard for the web) and are comfortable with institutional tools.
You have excellent oral and written French skills and proven writing ability. Knowledge of English is an asset.
You demonstrate rigour, method, a keen sense of organisation, priority management, and initiative. You work proactively, autonomously, and diplomatically.
You have a high sense of discretion and confidentiality.
