With nearly 1,200 employees, the Acute Medicine Department (D-MA) includes the anaesthesiology, clinical pharmacology and toxicology, adult intensive care, and adult emergency services. It fulfils a fourfold mission through its services, which provide their expertise in frequent interaction with all Geneva University Hospitals, thanks to a transversal platform, aiming to ensure the best possible care for patients.
The Emergency Service is a transversal service of the HUG at the heart of the technical platform. With its various sectors, its mission is to ensure the comfort and safety of patients. The service also provides pre-, post-graduate and continuing education for nurses and doctors in specialised training.
Within your service, you manage daily requests for changes in employees’ schedules, respecting the current time management rules. In this context, you modify schedules in Excel, enter schedules into Vision HR, respond to staff requests by email, and then file them.
You check and enter medical certificates (illness and accident), update schedules in Excel and Vision HR. You scan them and insert them into the VRH software.
For each new schedule, you prepare the new schedule template in Excel for each team, check team movements: rotations, maternity leave, departures/arrivals, activity rates, formatting and formulas, enter employees’ scheduling requests into E-Pop, check assignments in Vision HR as well as holidays, training, and time codes.
After the release of the new schedule, you manually enter hours worked on assignments and schedules not transferred by E-Pop into Vision HR.
You perform various secretarial tasks (taking minutes, preparing the annual leave schedule template and year-end holiday requests, entering holiday requests, verifying and correcting public holiday balances, checking weekly timesheets of temporary staff, requesting access rights, updating mailing groups, as well as various occasional tasks) for the Care Team Managers (RES). You are also responsible for drafting daily staff allocations.
Thanks to your interpersonal skills, you develop a close relationship with your colleagues and ensure continuity of service by providing cover during absences. More generally, your service-oriented attitude makes you an agile person ready to apply your versatility to serve the institution by working in different services according to needs.
Qualifications
You hold a Federal VET Diploma as a commercial employee and have at least one year of successful experience in a similar position within a hospital centre.
You have an excellent command of the French language, both spoken and written. For non-French speakers, a C1 level is required.
You have very good knowledge of IT tools (Word, Excel, PowerPoint, Outlook and/or Web - ECDL Base level certification required) as well as the software used at HUG (DPA, DPI, E-Pop, Vision HR).
While having an excellent sense of organisation and priorities, you demonstrate autonomy, organisation, and efficiency.
You are dynamic, showing rigour and precision in the tasks entrusted to you.
With good communication and listening skills, you enjoy working in a team.
You know how to work simultaneously with several RES (priority management, request prioritisation, flexibility), and you demonstrate versatility and discretion.
You also have the tools to cope with unforeseen events and easily manage stressful situations. Finally, you show a keen sense of confidentiality.
