Your missions
Act as administrative support for the Installations and Buildings (IBA) department. The Administrative Manager is the central administrative pivot between internal (employees & managers) and external (clients & suppliers) parties. They ensure that information is transmitted to colleagues to promote smooth business operations. They optimise administrative procedures and propose new, more efficient working methods.
· Handle all client requests and ensure effective follow-up
· Ensure complete administrative and financial follow-up for the photovoltaic sector and manage all procedures with Pronovo
· Act as support for project managers and sales staff in the photovoltaic department
· Manage data entry and update various tracking tools during the different phases of sales and project execution
· Plan and ensure follow-up of OIBT inspections for the department
· Monitor offers and invoice interventions
· Draft various letters, such as offer confirmations, requests for quotes, authorisation requests, right-of-way easements, cover letters, etc.
· Manage and follow up on invoicing for the photovoltaic sector and close files upon project completion
· Prepare indicator reporting for the department head
· Perform post-calculation of completed projects
· Monitor and check work hour reports of department employees as well as leave requests
Your profile
· Holder of a commercial employee CFC or equivalent qualification
· You have worked at least 3 years in an electrical installation company in Switzerland in a similar role
· You have good interpersonal skills and an entrepreneurial spirit
· You master the professional IT and office tools (WinProgitel, Office Manager, Electroform, Office, etc.)
· Reliable, proactive, enterprising and highly autonomous
· Methodical and rigorous, attentive to meeting deadlines
· Flexible, with a strong team spirit and a driver of change
· Punctual, responsible and well organised
· Results and client satisfaction oriented
· You also believe that success requires working together and collaborating
