As part of a maternity leave replacement, to complete our technical and rental management team, we are looking for a:
MANAGEMENT ASSISTANT 100% - Permanent Contract
Start date: to be agreed, as soon as possible.
Your duties:
- Answer external and internal telephone calls professionally, courteously, and respectfully.
- Write and manage correspondence, ensuring rigorous follow-up of communications.
- Prepare work orders, requests for quotes, as well as awarding and rejecting quotes, ensuring information accuracy and compliance with established procedures.
- Prepare inventory reports for the property manager.
- Handle claims as first response and ensure follow-up of files.
- Prepare exit statements related to lease terminations.
- Process invoices and manage them within the required deadlines.
- Manage lease terminations and organise the re-letting of properties.
- Draft leases and all necessary annex documents.
- Prepare lease amendments and monitor rent changes.
Your profile:
- Holder of a Federal VET Diploma in Commercial Business
- Previous experience in a property management company, with good knowledge of real estate management processes.
- Strong writing skills, enabling clear and effective communication.
- Good command of common IT tools.
- Organisation, responsiveness, and rigour: ability to manage multiple tasks simultaneously and meet deadlines.
- Autonomy as well as team spirit: dynamism and willingness to contribute to a collaborative work environment.
- Excellent skills in priority management, stress resistance, and versatility.
- Interpersonal skills and positive attitude, with a good sense of mutual support.
- Knowledge of Quorum software (an asset).
- Immobase training (an asset).
