YOUR TASKS
- Overall responsibility for the operational operation in the mailroom including ensuring the agreed services, compliance with SLAs, and active participation in daily business during bottlenecks
- Professional and personnel management of the team including deployment planning, prioritization of tasks, conducting employee interviews, as well as promotion and further development of employees
- Ensuring efficient and high-quality processing of physical and digital incoming mail (including scanning, classification, and further processing) as well as monitoring data quality and process standards
- First point of contact for the customer on site and coordination of all operational concerns as well as close cooperation with internal interfaces (e.g., IT, other locations)
- Planning, control, and continuous optimization of mailroom processes with a focus on digitization, efficiency improvement, and quality
- Support in the introduction and further development of digital solutions as well as
- Accompanying the team with new tools and ways of working
- Responsibility for reporting and evaluation of relevant key figures (e.g., volume, throughput times, error rates) as well as coordination of counting days
- Recruitment of new employees as well as ensuring a structured onboarding and training concept
- Ensuring compliance with work instructions, quality and safety requirements, as well as responsibility for infrastructure, machines, and operating resources
YOUR PROFILE
- Several years of professional experience in an operational service environment (e.g., mailroom, logistics, facility services, or comparable) as well as initial leadership experience or clear willingness to take responsibility for a team
- Affinity for digital processes and tools as well as a good basic understanding of modern mailroom and document processes (e.g., scanning, workflow, simple automations)
- Structured, independent, and reliable working style combined with a high level of quality and sense of responsibility
- Strong communication and leadership skills with the ability to motivate, develop, and confidently guide employees through changes
- Analytical thinking skills as well as experience in dealing with key figures and operational reporting are an advantage
- Resilience and stress tolerance in a dynamic work environment as well as solution-oriented action even in demanding situations
- High social competence, assertiveness, and an appreciative leadership style
- Very good German skills in spoken and written form
- Clean criminal and debt register
