We are currently seeking an Educational activities assistant for a 4-month temporary position (70–100%) to support the coordination and delivery of ERS educational assessment activities, with a particular focus on the Adult and Paediatric HERMES examinations. The successful candidate will provide operational and administrative support, coordinate examination-related activities, and work closely with expert committees, faculty members and international partners. The role requires strong organisational skills, attention to detail, a proactive approach and the ability to manage multiple tasks in a collaborative, international environment.
Educational activities assistant (4 months replacement sick leave: 70-100%)
Role purpose
The Educational Activities Assistant supports the delivery of ERS assessment activities, with a particular focus on the HERMES examinations for adult and paediatric. Working closely within the education team and the Assessment Director, Examination Committees, MCQ authors, national societies and internal stakeholders, the role ensures high-quality assessment processes, supports the international development of HERMES examinations and contributes to the continuous evolution of ERS educational standards.
Key contribution areas
1. Governance & operational coordination
Coordinate the operational planning and governance of ERS assessment activities by ensuring effective committees and MCQ authors support, examination delivery and continuous process improvement.
Key responsibilities
- Assist in the operational planning and delivery of the Adult and Paediatric HERMES examinations.
- Support Examination Committees activities, meetings, documentation and follow-up actions.
- Monitor project plans, budgets, milestones and examination timelines to ensure timely delivery.
- Prepare reports, presentations, statistics and operational documentation supporting committee activities and decision-making.
- Identify opportunities to improve operational processes and examination delivery.
2. Learning pathways, assessments, accreditation & certification
Ensure the quality, relevance and continuous development of ERS assessment activities by coordinating examination processes, supporting assessment design and promoting recognised educational standards.
Key responsibilities
- Assist in the development and delivery of the Adult and Paediatric HERMES examinations and other assigned assessment programmes.
- Support the continuous review and maintenance of examination blueprints, syllabi, question banks and assessment documentation.
- Coordinate MCQ author recruitment, onboarding, training and performance evaluation.
- Contribute to the development of innovative assessment approaches, digital examination solutions and AI-supported translation/ initiatives where appropriate.
3. Global engagement, partnerships & capacity building
Strengthen the international recognition and reach of ERS assessment programmes by developing partnerships, supporting national societies and promoting capacity building among assessment contributors.
Key responsibilities
- Coordinate translation initiatives to broaden access to ERS examinations and support multilingual delivery where appropriate.
- Maintain effective internal and external relationships with partners, providers and officers.
- Benchmark assessment practices and contribute to the continuous evolution of ERS examination programmes.
4. Collaboration & cross-functional Contribution
Contribute to a collaborative and high-performing working environment by fostering teamwork, knowledge sharing and effective cross-functional collaboration across ERS.
Key responsibilities
- Build effective working relationships across ERS departments and with external partners.
- Acquire knowledge and contribute to cross-functional initiatives supporting organisational priorities.
- Promote collaborative ways of working and continuous improvement across projects and partnerships.
- On an ad hoc basis, contribute to projects and initiatives beyond the role’s defined responsibilities, in support of broader organisational needs.
Education & professional background
- Bachelor’s or master’s degree in education, Health Sciences, Business Administration, Project Management or a related discipline.
- Experience coordinating educational assessments, certification programmes or complex educational projects.
- Experience working with expert committees, examination boards or professional associations.
- Experience in an international scientific, medical, educational or not-for-profit environment is an advantage.
