The position is attached to the Department of Women, Children and Adolescents , which aims to provide quality care tailored to the needs of women at every stage of their lives, and to the health issues faced by newborns, children and adolescents from birth up to the age of 16. It works towards the development of cutting-edge services and specialist centres of expertise.
The Gynaecology Service includes numerous specialisations in surgical and medical fields. The service also houses the Breast Centre, where a multidisciplinary team provides personalised follow-up care for women. The Pelvic Floor Unit and the Reproductive Medicine and Gynaecological Endocrinology Unit, as well as consultations concerning the ovary or endometriosis, are also part of the gynaecology domain.
Reporting to the Head of the Reproductive Medicine and Gynaecological Endocrinology Unit (UMREG), you play a central role in the administrative and organisational functioning of the secretariat.
As a true interface between patients, healthcare professionals and external partners such as community doctors and laboratories, you contribute to the smoothness and quality of the care pathway, as well as the proper running of activities.
Through your organisational skills, rigour and versatility, you provide high-level administrative support, participate in the coordination of clinical activities and support the unit in connection with projects and academic training.
You ensure the reception and orientation of patients and healthcare professionals, manage appointments and medical schedules, as well as the administrative follow-up of patient files. You contribute to the coordination of the care pathway by maintaining links with the various stakeholders.
You handle the medical secretariat of the unit, the management and transmission of medical information, as well as the administrative follow-up of clinical activities. You work closely with medical and nursing teams and care partners to ensure the smoothness of the patient pathway.
You provide administrative support to the unit’s lead physician by coordinating schedules, meetings, training sessions and professional events. You prepare the necessary documents for these activities and contribute to the organisation and administrative follow-up of various unit projects.
You contribute to administrative follow-up for human resources, financial activities and institutional procedures of the unit. You monitor various cross-cutting files and ensure compliance with administrative deadlines.
You contribute to the flow of information, updating communication materials and the continuous improvement of administrative processes. You also participate in institutional projects and provide occasional support to partner secretariats as needed.
Qualifications
You hold a commercial or administrative qualification, such as a maturity certificate, CFC, and a higher administrative qualification such as a federal diploma as an assistant or executive assistant, or an equivalent qualification.
You have at least five years of proven experience in a similar role, ideally in the medical or hospital field.
As the patient base is both local and international, you have perfect command of French, both spoken and written, and proven writing skills. You also possess very good written and oral knowledge of English, and knowledge of a third language is a strong additional asset.
You hold the ECDL Advanced certification in Word, Excel, PowerPoint, Outlook and/or Web. Mastery of internal HUG software (VRH, DPA, DPI, OPALE, GRECO and Winscribe) is a significant advantage.
