The Department of Medicine (DMED) provides comprehensive and specialised care for patients, both in hospital and outpatient settings. Within this department, the Pulmonology Service cares for adults with all acute or chronic respiratory diseases, providing diagnosis, treatment and follow-up, both outpatient and inpatient.
This newly created position is part of the ALTER deployment, which aims to ensure compliance of work organisation with the Labour Law (LTr).
As a secretary, you assist one or more healthcare executives, notably chief physicians, clinic heads or deputy physicians, in the administrative management and organisation of their activities in clinical, academic and research fields, ensuring the interface between different professional sectors. You are also the contact person for exchanges with the University.
You organise appointments, meetings and seminars by managing the electronic calendar of these healthcare executives. You anticipate and prepare files, write meeting minutes and coordinate the follow-up of decisions made.
While responding to various simultaneous requests, you independently carry out administrative activities related to your role such as managing doctors’ schedules (VRH), administrative management of private or faculty funds, organising medical congresses and symposia, providing administrative support to service executives’ projects, and monitoring the budget allocated to the service and research.
Depending on the activity, you prepare patient files and after consultations, you autonomously ensure follow-up of consultations. If necessary, you schedule additional medical examinations. Thanks to your interpersonal skills, you welcome, inform and guide patients presenting at the unit and manage incoming telephone calls.
Your role requires rigorous priority management, organisation allowing anticipation and the ability to respond effectively to varied requests. You demonstrate proactivity in performing logistical tasks arising from secretarial life such as orders, requests for hiring, reimbursement or training.
In a perfect team spirit and collaboration, you work in coordination with the service secretariat as well as the chief physician and replace them as necessary to ensure continuity of service.
Qualifications
You hold a Federal VET Diploma complemented by higher administrative training such as a Federal Certificate of Executive Assistance. You have at least 3 years of successful experience in a role supporting governing bodies, management or executives in a similar position. Experience in a medical or public health environment is an asset.
You have perfect command of French, both spoken and written, and proven writing skills. Medical terminology is easily understandable to you. Mastery of a foreign language is a real asset.
You have very good knowledge of IT tools (ECDL standard/advanced level on Word, Excel, PowerPoint, Outlook and/or Web). Knowledge of software used at HUG (DPA, DPI, OPALE, GRECO, Winscribe and Laboratory Request) is an advantage.
