The position is attached to the Real Estate Directorate (DI). This directorate's mission is to define a strategy for the real estate portfolio, to develop coherence in the monitoring of major projects according to the 2022-2040 hospital master plan in close partnership with the main State services attached to the Department of Territory, the Department of Infrastructure, and the Department of Health, to optimise the monitoring of surfaces and their future planning, while ensuring the smooth running of services. More than 230 professionals carry out their missions daily with constant demands for excellence, a sense of service, and environmental responsibility.
Reporting to the administrative and financial manager of the DI, you ensure the day-to-day administrative and financial management of the directorate. You handle routine orders and administrative requests of the directorate. You also manage market orders and their follow-up.
You ensure the monitoring and processing of open orders and disputed invoices, liaising with suppliers and the relevant services, and take charge of the administrative management of claims.
You process expense reimbursements for employees and ensure the accounting of timesheets and the preparation of sector accounts.
You support the various sectors of the directorate in their requests and orders, advising them and ensuring the follow-up of their processing.
You handle contract requests, in coordination with the contract manager, and contribute to the continuous improvement of the administrative and financial processes of the unit as well as to the updating of procedures.
Qualifications
You hold a gymnasium or professional maturity diploma supplemented by continuing education in accounting or management, or an equivalent qualification. You have proven experience, ideally 3 years, in a similar administrative and financial role.
You possess good knowledge of ordering, invoicing, and accounting processes.
You are comfortable with the usual IT tools of the function (MS Office, including good mastery of Excel, and ERPs). Knowledge of HUG software (CEGID, ServiceNow) is an asset.
Organised, rigorous, and reliable, you know how to manage several tasks or files simultaneously, meet deadlines, and take necessary initiatives.
You appreciate teamwork and contact with a variety of interlocutors (suppliers, internal and external partners), with whom you develop constructive relationships.
You demonstrate flexibility and a good sense of service and have a sense of confidentiality.
