The Vaud Hospitals Federation IT ( FHVi ) is the preferred IT partner of more than 12 hospitals and regional health establishments in the canton of Vaud. FHVi supports them in the many challenges of digital transformation in the healthcare sector and its main missions are to plan, design, implement and operate the information system of its members. It employs more than 100 staff serving 10,000 users, with a fleet of over 7,000 workstations spread across about a hundred geographical sites and three cantons (VD, VS, FR).

FHVi is a key player in business, organisational and digital support for healthcare institutions – hospitals, hospital pharmacies, care networks, nursing homes and emergency and rescue centres – in French-speaking Switzerland. The recognised public utility, non-profit association is located in Prilly on the site of the Cery hospital.
It is committed to supporting healthcare institutions through its expertise in information technology and healthcare management. Its role is to improve efficiency, coordination and digital infrastructure through solutions tailored to a diverse clientele, both in terms of the size of the structures and the professions involved. By relying on a shared information system and quality digital services, it aims to ensure a safe and efficient hospital organisation centred on patient needs.
In the face of the growing digitalisation of the healthcare system, FHVi has recently begun its own transformation to respond effectively to the challenges of this complex, dynamic and exciting field. This transformation involves, among other things, a thorough overhaul of the funding model. This includes a significant improvement in budget management as well as the implementation of more robust and transparent financial practices.
In this context, the organisation is looking for a
Contract Manager (80-100%) fixed-term contract of minimum 3 months.
Desired start date: As soon as possible (ideally immediately).
Reporting to the administrative and financial director, at the crossroads of legal, financial and operational fields, you will optimise the IT department’s purchasing programme and be the guarantor of contract reliability, assisting various departments in achieving their objectives.
Main responsibilities:
Purchasing process:
- Defines and ensures the rigorous application of a coherent purchasing process, both for standard purchases and those subject to public procurement regulations (tender and public tender), in compliance with thresholds, procedures in force and the Signature Regulations.
- Designs and implements, in collaboration with operational teams, consultations (RFI, RFP, RFQ).
- Ensures sourcing and identification of relevant providers and prepares, coordinates and leads the consultation and candidate presentation phases.
- Develops multi-criteria analysis grids and evaluates offers on technical, functional and commercial levels.
- Conducts negotiations, whether bilateral or within the formalised consultation framework, in close coordination with technical experts (IT department, business management) and legal advisors.
- Actively contributes to the supplier selection process and the contractual formalisation of agreements.
Management, performance and spend management:
- Monitors and manages relationships with strategic suppliers, analyses reports, reviews contracts and expenses, organises and leads follow-up committees.
- Defines and implements a strategy to optimise contract performance throughout their lifecycle.
- Analyses expenses: collects, consolidates and analyses purchasing data by supplier and category; prepares summaries and recommendations.
- Monitors purchasing performance: produces and tracks key performance indicators (KPIs), regular reporting and presents results to management.
- Manages key contracts: actively monitors deadlines, contractual commitments and associated risks; alerts and makes recommendations to management.
- Participates in or leads supplier and market risk analyses integrated into decision-making processes.
- Strategic monitoring: continuously monitors market developments, technological innovations and regulatory changes impacting purchasing.
- Conducts comparative analyses to identify best practices and optimisation opportunities.
Profile sought
With an open, caring and solution-oriented personality, you have solid experience in a service company, ideally in an IT environment, and show a strong interest in technological and contractual issues.
Your excellent command of financial levers, combined with a natural ease with numbers, allows you to effectively manage contract performance throughout the contract lifecycle. You know how to interpret complex data, identify risks, and recommend relevant corrective actions.
An outstanding communicator, you interact smoothly within cross-functional teams while maintaining constant links with internal and external stakeholders. You are comfortable with negotiation, leading follow-up committees, and coordinating with legal, purchasing, finance or operational departments.
Part-time work between 80 and 100% can be considered.
