As part of strengthening its administration, the School of Management is advertising a position for:
Bilingual Administrative Assistant (80-100%)
Your mission
Ensure the follow-up of admission processes for future students at the School of Management, including reviewing files, admission conditions, application tracking, and coordinating the various administrative steps;
Manage academic processes, particularly those related to student progress, grades, study plans, and other assigned administrative processes;
Organise and manage the administrative follow-up of meetings, correspondence, statistics, certificates, and documentation;
Provide professional reception and quality service to students, staff, and external partners;
Work closely with the Management, institutes, study programmes, central services, as well as the teaching and middle management staff to ensure smooth information flow;
Participate in cross-functional projects, contribute to the continuous improvement of administrative processes, and follow up on decisions within your area of activity;
Carry out tasks assigned within one or more areas of expertise.
Your profile
Federal Certificate of Competence (CFC) as a commercial employee or equivalent qualification;
Experience in an administrative role, ideally in an academic environment or a complex organisation;
Experience in managing admissions, student progress, study plans, or academic processes is an advantage;
Excellent organisational and administrative skills, good command of MS Office tools, and ease in adapting to new digital environments;
Organisational sense, rigour, autonomy, and initiative;
Good interpersonal skills, service orientation, and ability to work both independently and in a team;
Numerical aptitude and ability to manage several files simultaneously;
Native German speaker with excellent French skills. Knowledge of English is an asset.

Your task
Ensure and manage the admission procedure for future HEG students, particularly reviewing files and admission conditions, processing applications, and coordinating the various administrative steps;
Manage academic processes, especially related to study progress, grade management, and study plans;
Organise and follow up meetings and prepare correspondence, statistics, confirmations, and other documents;
Provide professional support and assistance to students, staff, and external partners;
Work closely with the management, institutes, study programmes, central services, as well as teaching staff and middle management to ensure good information exchange;
Participate in interdisciplinary projects, contribute to the continuous optimisation of administrative processes, and follow up on decisions within your area of responsibility;
Perform tasks within one or more areas of competence;
Your profile
Federal Vocational Certificate (EFZ) as a commercial clerk or equivalent qualification;
Experience in an administrative role, ideally in an academic environment or a complex organisation;
Experience in managing admission procedures, study progress, study plans, or other academic processes is an advantage;
Excellent organisational and administrative skills, confident use of MS Office, and ability to quickly adapt to new digital environments;
Organisational talent, precise working style, and initiative;
Strong communication and social skills, and ability to work both in a team and independently;
Numerical affinity and ability to handle several files simultaneously;
Native German speaker with excellent French skills. English skills are an advantage;
