About the job
A cantonal public law institution, the CNP is tasked with leading the health policy of the canton of Neuchâtel in the field of mental health, in collaboration with partner institutions. The CNP aims to rehabilitate patients suffering from mental disorders by adopting a model of integrated and community psychiatry; it implements public policies for the promotion and prevention of mental health; it acts as a reference centre in the field of professional training and research in psychiatry.
The finance department, for its medical secretariats sector, is looking to fill 5 positions of:
Site Coordinators of Medical Secretariats
Holder of a commercial maturity certificate, at minimum a Federal VET Diploma as a commercial employee, you have ideally completed management training and have already managed one or more administrative teams. You wish to join a recognised institution specialised in mental health.
As part of your role you will be required to organise the activity of the medical secretariat ensuring smooth, anticipated operation aligned with the needs of clinical units and patients. A key role ensuring the operational and human coordination of medical secretariats on a CNP site, a true point of contact for all medico-administrative questions, you will be a privileged interlocutor for multidisciplinary teams and will take charge of the most complex activities thanks to your mastery of your teams’ tasks.
Your missions:
o plan and coordinate all activities of the medical secretariat
o supervise and unite the medical secretaries, ensuring a structuring and motivating close management
o manage priorities and ensure continuity of activity
o guarantee a smooth, efficient and quality organisation of the physical and telephone reception of patients, visitors and collaborators, contributing to conveying a positive image of the CNP
o work closely with doctors and inter-departmental managers to support clinical organisation
o contribute to the planning of doctors/therapists and ensure its updating
o organise, participate in and follow up on site colloquia or thematic sessions
o ensure rigorous and compliant management of medical records, oversee the control and finalisation of clinical documentation as well as compliance with institutional requirements and deadlines
o ensure compliance with processes guaranteeing the quality of services, harmonisation of professional practices and administrative coherence
o participate in institutional projects at the request of the Head of Medical Secretariats
o plan and optimise resources (secretaries, interns, apprentices), proactively manage replacements
o conduct performance reviews and support the skills development of your teams
o provide operational assistance when necessary.
Your skills:
o Federal VET Diploma as a commercial employee or equivalent qualification.
o professional maturity and a medical secretary diploma are assets
o continuing education in management such as a CAS is required.
o minimum 3 years’ experience managing administrative teams
o unifying spirit, proactive approach and ease in supporting change.
o good organisational skills and ability to manage priorities / stress in emergency situations
o analytical ability and synthesis skills
o excellent interpersonal and managerial skills enabling you to handle difficult situations, set clear expectations and contribute to conflict resolution with the support of the Sector Manager when necessary.
o speed of execution and adaptability
o flexibility and listening skills
o perfect command of the French language, both spoken and written
o regular use of the Office suite and ideally knowledge of software used at the CNP (Opale, Polypoint, Carefolio)
