The Opportunity:
Reporting to the International Logistics Operation Lead Americas, as the Senior Analyst, International Logistics, you will be responsible for assisting management in the day-to-day operations as they pertain to shipping, receiving and storage activities for all CSL Enterprise (CSL Behring, CSL, Seqirus, and CSL Vifor) Manufacturing or Distribution sites globally. You will coordinate and manage distribution and international transportation to meet financial targets requiring the ability to speak/read/write in Spanish. You will create required export shipping documentation to meet compliance requirements. You will manage the export declaration process according to requirements, format, transmission medium, approval and completion status. This is a hybrid role, which offers a combination of an onsite and remote work schedule. #LI-hybrid
The Role:
Delivery Processing
- Select relevant orders for delivery, and create outbound delivery, provide relevant batch, billing and shipping documentation.
- Verify availability, delivery, and goods issue status, and check the material document for goods movement.
- Coordinate with 3PLs to send delivery information and confirm shipment.
- Manage export declaration process, including determining requirements, format, transmission medium, approval and completion status; print and deliver export documentation, or send cancellation message if required.
- Monitor export declaration responses, activate and monitor fallback procedure if necessary.
- Oversee legalization, including generating and collecting appropriate documentation and processing with appropriate chamber/consulate; submit document packet for review by Trade Compliance and Cash Management.
Stock Transfer Buyer
- Perform stock transfer responsibilities, including determining order types, ensuring correct information is associated with the order, and verifying pricing, import, and delivery and shipping information.
Export Order Management
- Manage export order process, including creating export orders by type, determining order reason codes, and processing orders by fulfilling, blocking, or rejecting them.
- Review and resolve order exceptions, and perform export order validation checks.
- Create and print proforma invoices.
Transportation Management
- Coordinate transportation and shipment of materials, including creating or maintaining freight forwarder relationships in Panama.
- Calculate package dimensions, determining if a packing simulation is required, assign delivery to shipment, and create shipment documentation to send to freight forwarder.
Credit Management
- Process complex letters of credit from the first assessment until completion for submission to the bank entity, including conducting specific review of the requirements of the letter of credit regarding documentation and contents, authentication, scheduling, etc.
- Work in close collaboration with the relevant departments of the individual manufacturing sites, e.g., Treasury, Quality as well as the Customer.
- Coordinate authentication through the chamber of commerce, federal authorities and embassies.
- Conduct specific review of externally created documents relevant for the letters of credit and coordination of external and internal service provider (carriers, insurance companies, Quality, etc.).
Freight Management
- Order freight and cargo services from external service providers, including preparing forecasts of demands regarding sea-freight containers, refrigeration systems for air freight transports, and ensuring the availability at the corresponding external service providers.
- Review and verify freight invoices against the agreed freight charges and rates.
- Monitor the current freight costs against budget/forecast.
Reporting
- Contribute to monthly reports and finance forecasts.
- Comment on deviations in connection with the sales-budget/forecast.
- Monitor actual delivery volumes versus plan.
- Prepare monthly KPIs using SAP BI, including analysis of the deliveries with the purpose of optimizing the global transportation costs.
Order Management
- Contribute to continuous optimization of the order management processes within own area of responsibility.
- Provide support concerning the documentation of processes, including preparation of the procedural documentation of trainings.
- Participation in the preparation and in the updating process of SOPs (global).
- Participate in projects within Global Logistics.
Training Development and Delivery
- Provide training for new team members and trainees on the order management processes at the different manufacturing sites.
- Provide training for internal guidelines (in agreement with the direct report line manager).
- Provide training for external guidelines (e.g., new country/region requirements).
Financial Processing
- Settle complaints and insurance claims according to described procedures and instructions in agreement with the subject matter expert departments of the different manufacturing sites.
- Complete financial processing (credit and debit notes) for the Finance Department.
- Prepare returns in coordination with the subject matter experts of the manufacturing sites and processing the returns.
Your Skills and Experience:
- Bachelor’s degree in Supply Chain, Transportation, Logistics, Management, or related field preferred.
- Bilingual English/Spanish is required.
- 3+ years of experience with logistics or supply chain.
- Experience working in and knowledge of various aspects of warehousing, distribution, inventory control, export and transportation preferred.
- Ability to work independently and on a compressed time schedule.
- Demonstrated critical thinking/problem solving skills required.
- Proficient in MS Office Suite including Access, Excel, PowerPoint, Project and Word.
- Experience with GDRS and Track Wise.
