To assist our PMO Team, based in Lausanne, we are looking for a 100%:


Project Management Support Specialist

The ideal candidate will be someone with great energy, who loves to support others, and to collaborate closely with the Head of the Project Management Office (PMO) and with the team. We are looking for someone who has experience supporting change management and is at ease in an evolving environment.

Your goal will be to ensure an efficient delivery of PMO administrative tasks and to provide Project Management basic support under the guidance of a team leader or project manager.

You are capable to plan ahead and anticipate roadblocks. You are flexible, able to adapt to quickly changing priorities and requests and still follow-through with your work. You are team player who works well with all internal and external stakeholders.

You are tech-savvy and at ease with all Microsoft Office applications including Outlook Calendar Management, Excel, PowerPoint and MS Project.


Your key responsibilities:

Provide Project Management support by:

  • Contributing to the creation and distribution of various Project status reports in Word, Excel, MS project, Teams, Sharepoint and other formats;
  • Contributing to project governance documentation;
  • Supporting the Head of PMO in the development of PM processes and tools (e.g. dashboards, resource capacity planning, etc.);
  • Supporting Team Leaders in the project management (meetings, schedule, budget and FTE planning, tracking and reporting) of programs;
  • On a case by case decision: be able to prepare agendas, take and complete meeting minutes; coordinate distribution and track action items;
  • Preparing/Layouts presentations and managing documents repositories.


Support the PMO department in company-wide projects by:

  • Coordination of local and international meetings; including logistics, catering and equipment needs, visitor accommodations;
  • Making travel arrangements and preparation of meeting schedules;
  • Providing logistic / administrative support and managing the calendar of the Project Management Office Head;
  • Organization (agenda, minutes, action items, follow-up) of the department meetings;
  • Scheduling Project Team Meetings and taking minutes based on capacity and PMO needs;
  • Independent delivery of PMO administrative tasks like phone calls and correspondence/e-mails according to standard processes;
  • Coordination of financial processes such as invoicing, payments, expense reports to ensure timely processing;
  • Coordination of contracts signatures and management processes.


Your Profile:

Minimum Qualifications:

  • Medical / pharmaceutical education or bachelor’s degree in natural sciences ;

  • 1-3 years related experience in administrative support role ;

  • 1-2 years experience in the pharmaceutical industry ;

  • Technology-savvy in all Microsoft Office applications including Outlook Calendar Management and PowerPoint ;

  • Fluency in English ;

  • Demonstrated strong organizational skills, detail and deadline oriented with ability to identify and communicate conflicts in scheduling/priorities ;

  • Open, proactive and positive personality ;

  • Ability to handle multiple responsibilities simultaneously on short notice and meet requirements in a fast-paced, high-expectation environments ;

  • Ability to anticipate & troubleshoot problems.


Following competencies are a plus:

  • Experience in similar pharma or medical devices disciplinary and/or international environment ;

  • Project Management Office support services / teamwork experience ;

  • Second Language: German or French ;

  • Good knowledge of MS Project.
