For our Activities and Sports department, we are seeking a proactive, well-organised and detailed oriented

In this position, you will play a key role managing the administrative and logistical aspects of our extra-curricular activities and sports programmes. Your contribution will be essential in delivering outstanding service to our students and parents, enhancing their overall experience of our School.

Main responsibilities:

  • Coordinate the administrative aspects for all external sports tournaments (students’ and teams’ registration, communication with parents, teachers and host schools, etc.)
  • Organise transportation and logistics for tournaments and other events organised by the department.
  • Ensure effective communication with all stakeholders, including tournament host schools, team coaches, transport partners, parents and students.
  • Book spaces (sports hall, football fields, classrooms) for tournaments and other activities organised by the department.
  • Ensure accurate students and team registrations on various platforms, maintain up to date databases.
  • Coordinate administrative activities throughout the year for billing purposes, including cancellations and refunds.
  • Provide administrative support to the Holiday Camps Coordinator, ensuring smooth preparation and running of the camps (scheduling, participant registrations, logistics, communication with parents)
  • Coordinate the annual calendars and try-out sessions for the sports teams

Desired profile:

  • A minimum of 3 years of proven administrative experience with at least one year of experience in an international environment
  • Excellent communication skills in English (C1) and French (C1), both written and oral
  • Excellent organisational skills with the ability to handle multiple tasks simultaneously, set priorities and be flexible with changing priorities.
  • Solution-oriented mindset with strong customer service orientation.
  • High level of attention to detail and accuracy.
  • Hands on approach, with ability to work independently as well as part of a team.
  • Ability to interact effectively with students, parents, sports coaches and external partners, as well as to work in a culturally diverse organisation
  • At ease with numbers, systems and databases

Given the unique demands of this role, the position holder will need to work through most of the summer, limiting the availability of summer holidays to two weeks at the beginning of August. Other holiday periods to be agreed with the direct supervisor.
