Responsibilities:
- Manage the full employee lifecycle administration from onboarding to offboarding, including contracts, amendments, probation follow-up, employee documentation, work certificates and exit processes
- Maintain accurate HR records and ensure compliance of all employee data, files and HR systems
- Act as the main HR contact for apprentices and trainees, coordinating their administrative journey with schools and apprenticeship authorities
- Provide first-line HR support and guidance to employees and managers on HR policies, procedures, employee relations and welfare matters
- Support employee relations activities, including conflict resolution, disciplinary actions, warning meetings and termination processes
- Advise employees on payroll, social security, insurance, tax and immigration-related matters
- Manage recruitment activities, including job postings, candidate screening, interview coordination, reference checks and end-to-end recruitment for assigned positions
- Ensure an excellent candidate and hiring manager experience and promote recruitment best practices across the organization
- Coordinate employee engagement, wellbeing initiatives and internal HR communications to foster a positive workplace culture
- Organize employee events and wellbeing activities, including communication, logistics, follow-up and feedback collection
- Support time and absence management processes, including leave administration, return-to-work follow-up and employee guidance
- Contribute to HR projects, process improvements, HR correspondence, team support activities and provide operational support to the Director of HR
Profile and experiences:
- HR Diploma "Certificat d'assistant/e en gestion du personnel" (mandatory), additional degree or certification in HR is an asset
- CFFE diploma (for apprentices' management) would be a plus
- Minimum 3-5 years of proven HR experience in administration, recruitment, and payroll coordination, ideally in an international or multi-site environment
- Experience providing employee support/counselling in complex, fast-evolving environments
- Fluent French & English (spoken and written)
- Solid knowledge of Swiss employment law, social security, tax and payroll; knowledge of UK legislation is a plus
- Exceptional administrative precision with proven ability to handle high-volume, detailed tasks without errors
- Strong organisation, prioritisation and time-management skills, with the ability to independently structure workload and meet deadlines
- Really good command of MS Office tools (Excel, Word, PowerPoint) and ability to learn HR systems quickly
- Excellent communication and interpersonal skills with a professional, supportive and service-minded approach
- Demonstrated ability to follow up, close actions, and ensure tasks are completed fully and on time
- Strong understanding of counselling principles, confidentiality, and conflict resolution
- High level of autonomy, accountability and reliability able to work with minimal supervision and anticipate next steps
- Proactive mindset, able to propose improvements and take initiative
- Team player with a collaborative mindset and willingness to support colleagues across tasks and projects
