The Vaud Hospitals Federation IT ( FHVi ) is the preferred IT partner of 12 hospitals and regional health institutions in the canton of Vaud. FHVi supports them in the many challenges of digital transformation in the healthcare sector and its main missions are to plan, design, implement and operate the IT system of its members. There are more than 120 employees serving 14,000 users, with over 8,000 workstations spread across about a hundred geographical sites and three cantons (VD, VS, FR).

Your mission
As Workplace Manager, you ensure the management of the Workplace team within the Infrastructure, Operations & Support department.
You are responsible for the steering, governance and evolution of the entire Workplace environment provided to users supported by FHVi: workstations, mobile devices, Microsoft 365 environment, endpoint management, associated applications and services.
In a multi-site hospital environment operating 24/7, you guarantee the quality, security, performance and continuity of Workplace services, while managing their modernisation and development.
Primarily a manager, you lead a team of specialists and technical experts. You define directions and priorities, manage the roadmap and resources, and ensure the achievement of expected results.
However, you have a solid technical knowledge of Microsoft Workplace environments, enabling you to understand the issues, evaluate proposed options and credibly challenge your team’s experts, without intending to replace them in technical implementation.
You work closely with the Department Director, other team leaders, the Service Desk, the CISO, Identity teams and IT Management teams.
The scope is significant: FHVi supports more than 13,000 users and has over 8,000 workstations across about a hundred sites.
Your responsibilities
Team management and development
- Ensure hierarchical management of the Workplace team: activity organisation, annual reviews, setting objectives and monitoring their achievement.
- Organise and allocate responsibilities within the team according to skills, priorities and service needs.
- Support and challenge the team’s experts in their technical directions and decisions, and intervene in support or escalation when necessary.
- Develop employees’ autonomy and skills and support their progression and certification paths.
- Participate in recruitment and integration of new employees.
- Arbitrate priorities and resource allocation between Run and transformation activities.
Workplace governance, strategy and roadmap
- Define and manage, with the Department Director, the Workplace strategy and roadmap.
- Define directions, standards and governance principles applicable to the Workplace environment.
- Manage choices and developments concerning workstations, mobile devices, Microsoft 365, Endpoint Management and associated services.
- Ensure coherence and standardisation of solutions deployed across different institutions.
- Identify and prioritise necessary developments based on user needs, technical and security issues, and budget constraints.
- Anticipate technological evolutions and propose relevant directions for FHVi.
- Contribute to IT transformation projects impacting the Workplace environment.
Workplace environment management
- Ensure control of the lifecycle of workstations and devices, from acquisition to replacement and disposal.
- Manage the definition and evolution of standards regarding equipment, configurations and workstation images.
- Supervise the evolution of Microsoft Endpoint Management solutions: Intune, Autopilot, MECM.
- Manage the strategy, governance and evolution of MDM/MAM systems to ensure security and compliance of devices, applications and professional data.
- Ensure control and evolution of the Microsoft 365 environment, notably Exchange Online, Teams, SharePoint Online, OneDrive and Office applications.
- Manage application governance, packaging and distribution.
- Ensure controlled and compliant use of Microsoft licences and services.
- Ensure industrialisation and automation of Workplace activities.
- Challenge technical directions and proposals from experts and ensure their coherence with IT architecture and standards.
Service quality, security and Run
- Ensure availability, performance, security and quality of Workplace services.
- Ensure control of Run activities and their proper coordination with the Service Desk and other technical teams.
- Ensure cybersecurity and compliance requirements are met across the scope.
- Manage major incidents and recurring issues requiring managerial intervention or arbitration.
- Ensure implementation of sustainable corrective actions.
- Define and monitor performance indicators for the domain.
- Manage necessary improvement plans.
Budget, suppliers and domain management
- Develop and monitor the Workplace budget: equipment, solutions, licences, services and transformation activities.
- Prioritise investments according to the roadmap and domain challenges.
- Manage suppliers and partners: contracts, commitments, service levels, performance and costs.
- Optimise use of licences, equipment and resources.
- Produce regular reporting on performance, risks, resources and main domain issues.
Profile sought
Education & experience
- Higher education in IT, information systems engineering or related technical field, at HES/EPF/university level (Bachelor or Master), or equivalent qualification.
- Minimum 5 years’ experience in Workplace / End User Computing environments, including workstations, mobility and Microsoft 365 environments.
- Minimum 3 years’ experience in hierarchical management of a technical team, ideally composed of experienced or expert profiles.
- Significant experience managing and transforming large-scale, multi-site Workplace environments.
- Experience in workstation and user environment modernisation projects.
- Experience in a critical, hospital or public sector environment is an asset.
- Microsoft certifications (Endpoint Administrator, Microsoft 365 Administrator) and/or ITIL appreciated.
Technical and professional skills
- Strong mastery of Microsoft Workplace environments: workstations, Microsoft 365, Endpoint Management and mobility.
- Expert in Microsoft workstation management solutions: Intune, Autopilot, MECM and co-management.
- Mastery of Microsoft 365, its administration, governance and security principles.
- Strong knowledge of MDM/MAM environments, notably iOS, Android Enterprise and Apple Business Manager.
- Good understanding of issues related to Microsoft Entra ID, Conditional Access, endpoint security and data protection.
- Good knowledge of application packaging and distribution processes, as well as automation and PowerShell scripting possibilities.
- Ability to understand and challenge architectures, technological choices and complex technical issues, and to credibly engage with team experts.
- Good mastery of IT service management principles and transition between projects and operations.
- Confirmed skills in asset management, budget control, supplier management and service level monitoring.
- Knowledge of public procurement (AIMP/LMP) is an asset.
