As a travel coordinator, you support the institutional policy regarding business and student travel. You ensure the link with external providers and coordinate the digital tools and contractual arrangements in place. You work towards efficient, sustainable mobility that meets the School's needs.
Operational management
- Institutional coordination with the partner travel agency (contract, monitoring, quality, AOP).
- Remediation of dissatisfaction cases regarding offers made by the travel agency.
- Supervision of the booking tool (OBT): user support and guides, training.
- Coordination of the Guidelines related to the organisation of responsible business and student travel and their updates.
- Supervision of the following administrative support activities (carried out within the VPH at the time of publication):
- Monitoring the application of procedures for inter-campus travel (staff and students).
- Monitoring procedures for public transport subsidies intended for the community (SBB webshop, community subscriptions, GA, half-fare cards and tickets for international trains).
Budget monitoring & analysis
- Budget preparation in liaison with providers and expense monitoring.
- Collaboration with EPFL Sustainability for the collection of data necessary to calculate the environmental footprint of business and student travel.
- Collaboration with the purchasing department for contract monitoring with various external providers.
- Collaboration with the finance department for the analysis of costs related to business and student travel.
Communication and support
- Internal communication on tools, guidelines, training.
- Conducting occasional surveys on EPFL travel services and internal and external communication of results.
- Support and assistance to departments responsible for travel providers to ensure compliance with environmental guidelines.
- User support: assistance, advice and guidance on travel practices.
- Coordinate and implement the missions of the Travel Commission, notably aspects related to safety in partnership with the Security and Operations Division.
- Representation of EPFL within external networks and working groups dedicated to sustainable travel and mobility, including preparation of documents and participation in meetings (e.g. Swiss Network for Sustainable Academic Travel).
- HES or university degree in management, logistics, tourism, or equivalent.
- Proven experience (minimum 5 years) in managing business travel, institutional mobility or provider coordination.
- Comfortable with information systems, for example online booking tools and expense management systems.
- Knowledge of environmental issues related to business travel.
- Good knowledge of the academic environment and its functioning.
- Strong data analysis skills.
- Ease in drafting strategic documents, managing cross-functional projects, and communication.
- Autonomy, service orientation, ability to unite teams, and great rigour.
- Fluency in French and English; German is an asset.
