Tasks
Independently manage secretariat and administration: You independently handle the administrative and organisational tasks of the department and are responsible for the smooth running of the secretariat. As the first point of contact for the department, you act as a hub and are the business card of the Legal Department.
Take responsibility in legal areas: You independently draft letters, handle complex correspondence and take minutes of meetings. You are responsible for the formal finalisation of decisions, court submissions or legal and political reports (including proofreading), deadline monitoring as well as organising appointments, meetings and inspections. In addition, you undertake various research tasks.
Ensure use of IT applications: As a power user of the IT systems, you are the main contact person for digital applications, especially for Microsoft 365 and the cantonal business management system Axioma. You create and manage templates and processes in the respective applications and support the department's staff in their use. You actively contribute to the digital transformation of the cantonal administration.
Support department management: You support the department management by managing incoming mail, coordinating appointments and triaging enquiries. Furthermore, you carry out clarifications with clients.
Represent the Office of the Building Appeals Commission: You take over the office work of the Building Appeals Commission (judicial authority in building matters) as a deputy during the absence of the responsible employee.
Profile
Experience: You have experience in a secretariat within the legal field (public administration, court, law firm) and are used to working independently as well as adhering to workflows and processes. You are proficient in the use of IT systems and have a strong IT affinity. In addition, you are interested in shaping the digital transformation and its further development.
Personality: As a thoughtful, helpful and reliable person, you enjoy working in a team. You act in a structured, independent manner, have a high quality awareness and present yourself confidently. Discretion and a sense of responsibility are normal for you. As the first point of contact for the department, you are very service-oriented and enjoy oral and written communication and providing information. You like to contribute and help ensure the high quality of our services.
Education: You have a completed commercial or equivalent education for this demanding role. Further training in the legal field is an advantage. You are willing to familiarise yourself with new topics and, if necessary, to continue your education.
Language: Very good German skills, both spoken and written, are a prerequisite.

The General Secretariat is an advisor, initiator and central steering body of the Department of Construction and Transport. With services in areas such as finance and controlling, HR, communication and law, it supports the department management and the department's offices. It is responsible for the smooth handling of political affairs. As part of the Department of Construction and Transport, the General Secretariat cares for the current and future infrastructure of the canton and contributes to the high quality of life in Basel.
