Your working environment
You not only ensure that the office day runs smoothly – you make sure that our entire organisation runs seamlessly in the background. You identify optimisation potentials, tackle issues independently, and coordinate a wide range of internal and external contacts. At the same time, you are not too proud to personally welcome our employees and guests at reception.
What you will achieve
Office Management:
You are responsible for the operational management of our location and ensure that all office and infrastructure processes function efficiently
You lead and coordinate the areas of facility management, cleaning, caretaking, maintenance, and technical service providers
You are responsible for the procurement of all office, consumable, and operating materials as well as collaboration with suppliers
You coordinate our insurances, contracts, and other administrative services related to office operations
You identify optimisation potentials early, implement improvements independently, and take responsibility for new initiatives
You support our employees with all organisational concerns and ensure a professional workplace
People & Team Support
You coordinate the entire onboarding and offboarding process in close collaboration with HR and the specialist departments
You ensure that new employees are optimally equipped from their first day of work (workplace, hardware, access, badge, etc.)
You coordinate internal moves, workplace changes, and all organisational matters concerning our employees
You support various teams across departments with organisational and administrative questions
Events & Culture
You plan and organise internal events, workshops, team activities, and company occasions from A to Z
You contribute new ideas and actively develop our workplace experience and corporate culture
Processes & Organisation:
You are the first point of contact for internal IT concerns and provide pragmatic support for everyday questions
You take responsibility for cross-departmental operations projects and coordinate them independently
You ensure that processes are documented, standardised, and continuously improved
You keep an overview even with many parallel topics and prioritise independently
You ensure the quality and currency of our data and administrative systems
You identify optimisation potentials and actively contribute to the further development and digitalisation of our processes
You flexibly support the team with cross-departmental tasks and take responsibility for administrative special tasks
What you bring with you
Completed commercial training or a comparable qualification
Further training in office management, business administration, or corporate organisation is an advantage
Several years of experience in an office, operations, or workplace management role with high personal responsibility
Strong organisational skills and the ability to coordinate several topics simultaneously
High initiative and the ambition to actively improve things rather than just manage them
Enjoyment in taking responsibility and at the same time pitching in where support is needed
Service-oriented demeanour with professional manners and a strong hands-on mentality
