On behalf of one of our clients, a Geneva-based single family office, we are looking for an:
Administrative Coordinator
Responsibilities:
- Coordinate and oversee the day-to-day administrative operations of the office.
- Manage calendars, meetings and administrative follow-up for internal and external stakeholders.
- Organise business travel, logistics and meeting arrangements when required.
- Handle correspondence, documentation and maintain well-structured filing systems.
- Manage invoices, payments, expense tracking and administrative follow-up with external providers.
- Coordinate with banks, lawyers, fiduciaries, suppliers and other external partners.
- Ensure smooth office operations, including supplies, office coordination and general administration.
- Support the preparation of documents, reports and presentations.
- Monitor deadlines, administrative processes and ongoing matters with accuracy and attention to detail.
- Contribute to improving administrative organisation and operational efficiency.
Profile:
- Proven experience in an administrative coordination, office management or executive support role within a demanding environment.
- Experience within a family office, private office, financial environment or entrepreneurial structure is a strong asset.
- Excellent organisational and multitasking skills with strong attention to detail.
- High level of discretion, reliability and professionalism.
- Proactive, hands-on and solution-oriented mindset.
- Ability to manage multiple priorities and work autonomously.
- Strong communication and interpersonal skills.
- Fluent in French and English, both written and spoken; additional languages are an asset.
- Very good command of MS Office and standard administrative tools.
