As a good communicator, great multitasker and at ease in a tech environment, you will play a key role in handling administrative tasks to support the CEO and other key persons of the company ensuring a seamlessly coordination.

  • Support to the CEO:
    • Maintain the CEO’s calendar (meetings, appointments), keeping him advised of time-sensitive and priority issues, ensuring appropriate follow-up and organizing travel arrangements.
    • Prepare letters and other correspondences.
    • Proofread and correct communications and documents in English, in French and ideally German.
    • Perform a wide variety of administrative and support tasks.

  • Executive Management Meetings:
    • Schedule, assist in the preparation of the meeting (e.g. distribution of meeting agenda and material) and ensure corresponding support.
    • Ensure proper document management, including via the software used to run the meeting (Convene)
    • Attend meetings, take notes and prepare the initial draft of minutes for the validation of the Secretary.

  • Support to the Board of Directors / Important meetings:
    • Serve as a point of contact for the Chairman of the Board of Directors and other board members, answering a variety of questions and requests with tact and diplomacy.
    • Support the Chairman of the Board of Directors in the organization of Board meetings and provide all assistance required (e.g. coordination of venues, access management, transportation and hotel reservations).
    • Together with the Secretary, propose a draft agenda for the Board meetings.
    • Prepare templates of the minutes of the Board meetings.
    • Organize various important meetings such as the annual Strategy meeting and other off-side meetings of the Management.
    • Help prepare the annual general meeting of shareholders of the Group.

Qualifications
  • Excellent sense of service, interpersonal skills, and diplomacy.
  • Discretion and professionalism in handling sensitive and confidential information.
  • Detail-oriented.
  • Fluent in English and French. German a very strong asset.
  • Excellent writing, proofreading and editing and skills (mandatory in English).
  • Excellent organization and time-management skills.
  • Ability to prioritize and to work independently with sound judgment.
  • Energetic and comfortable interacting with high-level executives.
  • Resourceful with a can-do attitude.
  • Excellent computer skills, including Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel).

Background

  • Min. Bachelor’s degree preferred.
  • 10 years’ prior experience in an administrative function and min. 3 to 5 years in supporting a senior executive.
  • Prior experience in the tech or banking / financial services industry a strong asset.
